Job summary

University of North Carolina Wilmington is seeking a Temp Work Control Associate to partner with trade shops, project managers and campus stakeholders.   • Coordinate with customers, technicians and stakeholders to facilitate timely resolution of work requests.
  • Serve as liaison between the university and contracted service providers for scheduling and service delivery.
  • Manage overtime request process through SharePoint and AiM, reviewing submissions for accuracy and compliance.
  • Demonstrate strong interpersonal and communication skills when interacting with supervisors, coworkers, customers and the public.
  • Review daily reports.
  • Other duties as assigned.

Brief Summary of Work for this Position

The Work Control Associate will partner closely with trade shops, project managers, and campus stakeholders to ensure maintenance work is effectively planned, prioritized, and executed. Drive continuous improvement in assets management, work tracking, and delivery services.

Coordinate day-to-day operations by planning and organizing activities, communicating program policies and procedures, and fostering positive working relationships with both internal teams and external university constituents.

This role is utilizes planning expertise, attention to detail, and a collaborative approach to make a real impact.

Responsibilities include:

  • Monitor incoming phone calls and walk-in requests.
  • Receive, prioritize and process work requests in AiM- our Facilities Work Management Program- to ensure timely response and service delivery.
  • Conduct thorough intake reviews of customer requests to verify accuracy, completeness, and sufficient detail, ensuring efficient work order creation and execution.
  • Manage the full lifecycle of work orders, including creation, assignment, tracking, updates, and closure within AiM.
  • Coordinate with customers, technicians, and stakeholders to facilitate effective communication and timely resolution of work requests.
  • Serve as liaison between the university and contracted service providers, coordinating communication, scheduling, and service delivery to ensure compliance with contractual obligations and institutional standards.
  • Manage the end-to-end overtime request process through SharePoint and AiM, reviewing submissions for accuracy and compliance with established procedures.
  • Demonstrate strong interpersonal and communication skills when interacting with supervisors, coworkers, customers, and the public; accurately interpret and follow verbal and written instructions to ensure work assignments and operational effectiveness.
  • Review daily reports.
  • Other duties as assigned.

This position has been designated as mandatory personnel for the University and may be required to report to work during adverse weather conditions even though the University may be operating on an alternate schedule. This position may assist in the removal of snow, ice or debris, as required.

Minimum Education and Experience Requirements

As a guide, minimum requirements are generally: graduation from high school, two years related experience, and demonstrated ability with generally accepted office software programs. Work may require knowledge of UNCW policies and procedures or the ability apply policies and procedures to the work to be performed in the department.
