Job summary

Hargrove is seeking an experienced project administrator to manage multiple projects from proposal through closeout. The role includes planning, tracking, and documentation, plus supporting the department leader and project managers under general supervision.

Responsibilities include data entry from invoices and proposals, processing transmittals, approving invoices for plotters, and maintaining OH/Timecard logs with attention to detail and strong MS Office skills.

Qualifications

  • High School Diploma or equivalent is required. Advanced coursework preferred.
  • 6+ years of experience providing administrative support, preferably in an industrial engineering environment.
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook.
  • Proficient in Newforma and Deltek Vision; ability to learn other software as needed.
  • Extreme attention to detail and excellent proofreading and grammar.
  • Ability to communicate effectively, both verbally and in writing, and maintain confidentiality.

What You'll Be Doing Job Scope:

Generally responsible for project administration including overall planning, tracking and documentation of one or several projects from the project proposal phase to the project closeout phase. Projects are typically outlined with specific guidelines and procedures. This position is also responsible for overall department support, including but not limited to the leader and project managers for the specific discipline assigned to. This work will be performed under general supervision.

  • Data entry into spreadsheet(s) primarily from Invoices and Proposals
  • Process Drawing Transmittals
  • Approve Invoices for department managed plotters.
  • Enter invoice information into spreadsheet(s).
  • Enter OverHead (OH) charges into the OH Log/Spreadsheet during timecard reviews or shortly thereafter.
  • Timecards are reviewed bi-weekly.
Ideal Background Education:

High School Diploma or equivalent is required. Advanced coursework is highly preferred.

Experience:

This position requires 6 or more years of experience in providing administrative support, preferably in an industrial engineering environment.
