Job description

Company Overview

At Haystack, we build custom software products with a specialization in digital solutions for the Power and Utility industry. As Innovation Partners to our clients, we combine deep domain knowledge, a product-minded approach, and exceptional engineering to build scalable, maintainable, and high-quality software. Our mission is to deliver outstanding results while creating an experience clients love.

Who You Are

You’re a technically fluent Project Manager who brings clarity, structure, and momentum to complex software development efforts. With a solid grasp of the software development lifecycle and Agile methodologies, you’re skilled at translating business goals and product requirements into detailed plans that engineers can execute against. You speak the language of developers and strategists alike—able to dive into technical details when needed, while keeping a firm handle on timelines, scope, and client expectations.

You thrive in fast-paced environments where multiple projects are running in parallel, and you’re energized by the challenge of keeping teams focused and clients informed. Whether it’s facilitating sprint ceremonies, refining a backlog, troubleshooting delivery risks, or aligning resources across departments, you lead with accountability, empathy, and precision.

You’re not just a task manager—you’re a delivery partner. You understand that successful outcomes require strong relationships, clear communication, and constant adaptation. You take ownership of your projects, anticipate problems before they escalate, and are always looking for ways to improve how things get done. If you’re passionate about building great software and keeping high-performing teams aligned, this role is for you.

Role Description

We are currently seeking a Technical Project Manager to oversee the successful delivery of our custom software projects. This role is ideal for a mid-level professional with experience in software project management who is highly organized, client-focused, and comfortable managing multiple projects in a fast-paced environment. This role will focus on coordinating cross-functional teams, managing Agile workflows, and ensuring high-quality execution of web and mobile software solutions. With a focus on project delivery, you will work closely with our Product, Engineering, and Client Success teams to ensure projects are completed on time, within scope, and meet client expectations.

Key Responsibilities:

  • Project Planning & Execution: Develop and maintain project plans, timelines, and deliverables. Ensure projects are completed on time and within scope. Track progress using Jira (or similar tools) and manage project documentation.
  • Client & Stakeholder Communication: Serve as the primary point of contact for project statuses, updates, and risks ensuring transparency and responsiveness. Collaborate with Client Success on relationship-building efforts.
  • Agile Process Management: Facilitate Agile ceremonies, including sprint planning, daily stand-ups, and retrospectives. Write user stories, define acceptance criteria, and prioritize backlog items in collaboration with the client and development team.
  • Risk & Issue Management: Identify potential project risks and proactively mitigate issues before they impact delivery.
  • Team Coordination: Work closely with engineers, designers, and product strategists to ensure clear understanding of requirements, project goals and deliverables. Ensure cross-functional teams stay aligned and on track.
  • Budget & Resource Management: Monitor project budgets, track time spent on deliverables, and optimize resource allocation.
  • Process Improvement: Continuously refine project management workflows to improve efficiency and quality of deliverables.

Qualifications:

  • 3+ years of experience managing software or web development projects (preferably in a consultancy, agency, or SaaS environment).
  • Excellent organizational skills and attention to detail to ensure smooth execution.
  • Strong communication and interpersonal skills, with the ability to engage with clients and internal teams effectively.
  • Strong understanding of Agile methodologies (Scrum, Kanban) and experience facilitating Agile processes.
  • Experience with Jira, Confluence, or similar project management tools.
  • Basic technical understanding of software development lifecycle (SDLC) and ability to collaborate with engineering teams.
  • Proven aptitude to manage many competing projects and priorities.
  • Razor-sharp problem-solving skills.
  • Experience in the Power & Utility sector is a plus but not required.
  • Bachelor's degree or equivalent experience preferred.

What We Offer:

  • Competitive compensation with opportunity for advancement.
  • Flexible work schedule and generous PTO policy.
  • Health, dental, and vision insurance coverage.
  • 401K, HSA with partial match.
  • Opportunity to work on impactful projects with a growing consultancy.
  • A collaborative and supportive environment that values ownership, quality and efficiency.
  • Professional development opportunities.
  • Fully remote work environment (with a preference for candidates in the Phoenix and Indianapolis areas).
