Job summary

01 Salinas Valley Health Medical Center seeks a skilled scheduler for the Mammography department to manage interventional case coordination, pre-registration, and patient flow.

You will handle authorizations, CPT/ICD coding, and Medicare compliance while maintaining courteous patient interactions and accurate data entry in our systems. This role offers a daytime shift and steady, full-time hours.

Qualifications

  • High school education or GED; current BLS/Healthcare Provider certification per American Heart Association standards.
  • Two to four years of recent scheduling experience in PT/CT, Angio, CT, US, MRI, and X‑ray, with strong knowledge of medical terminology preferred.
  • Understanding of Medicare Secondary Payer and Three‑day rule regulations.
  • Excellent communication and customer‑service skills.

Responsibilities

  • Use PACS to transmit and print/burn CDs of patient studies; transport and assist patients; lift or move patients; file X‑ray jackets.
  • Perform routine clerical duties: prepare charts for interventional procedures, gather patient demographics and financial data, input into computer system, provide necessary patient preparation for procedures.
  • Coordinate scheduling with radiologists and nurses for interventional cases, and process initial paperwork and identification bands.
  • Schedule examinations across multiple modalities (PT/CT, CT, MRI, NM, US, Angio, X‑ray, Mammo). Maintain a friendly and professional telephone presence.
  • Obtain authorizations and billing codes; assess medical necessity for Medicare patients; obtain required signatures and collect copies of insurance and Medicare cards; adhere to Medicare Secondary Payer and Three‑day rule regulations.
  • Perform primary duties with MD office: Obtain authorization and DI order; Provide CPT codes; Obtain ICD‑9 codes for Medicare patients.
  • Interview, pre‑register, and screen patients for PET/CT, MRI, US, and CT; gather accurate demographic information; initiate quality patient care.
  • Coordinate child/adult sedation with anesthesiology and surgery scheduling; notify DI and OR nurses; review DI orders and verify exam scheduling.
  • Enter X‑ray, CT, US, MRI, and PET/CT exams into the computer system; prepare charts for interventional procedures.
  • Prepare all necessary paperwork, consent forms, questionnaires, and identification bands for the following day; schedule technologist and radiologist exams.
  • Register patients, obtain insurance and identification cards, determine primary and secondary payor, and enter information into the system.
  • Assist patients by transporting via wheelchair or stretcher, lifting patients onto X‑ray tables, and providing phone assistance.
  • Respond promptly to calls: Diagnostic Imaging, how may I direct your call?
  • File X‑ray jackets; print and burn CDs for patient imaging studies; assist physicians with PACS image viewing; record subpoenas and legal documentation; aid technologists with patient flow.
