OneSource Virtual is seeking a Tax Data Specialist to maintain customer tax profiles and resolve payroll tax data issues. You will coordinate with internal teams and use Excel, Power BI to support data accuracy and timely resolutions across systems.

The role emphasizes attention to detail, prioritization, and professional communication in a remote, data-intensive environment.

Formación

  • Associate degree or equivalent combination of education and experience.
  • Working knowledge of U.S. payroll tax concepts and multi-jurisdictional requirements.
  • Proficiency with Microsoft Excel for data organization, filtering, and analysis.
  • Ability to manage multiple priorities and deadlines while delivering accurate work.
  • Strong written and verbal communication skills, highly organized and detail-oriented.

Responsabilidades

  • Own and maintain customer tax profiles and related attributes (jurisdictions, account numbers, unemployment rates).
  • Process tax profile updates within approved systems and tools.
  • Manage cases from intake to resolution with proper prioritization and documentation.
  • Provide professional support for tax profile questions and data concerns.
  • Review payroll tax data for discrepancies and resolve issues within scope.
  • Identify conditions affecting funding, filings, or reporting and initiate corrections or escalation.
  • Collaborate across Tax Operations using Excel, Power BI, and reporting tools.
  • Meet service levels, deadlines, and quality standards for monthly, quarterly, and year-end periods.
  • Protect customer information and participate in process improvement and learning.

Position Summary

The Tax Data Specialist maintains and updates customer tax profiles, manages assigned cases and tasks, researches payroll tax data concerns, and coordinates with internal teams to support accurate data, timely resolution, and consistent service across multiple systems.

Essential Functions And Responsibilities
  • Own and maintain assigned customer tax profiles, including jurisdictions, account numbers, unemployment insurance rates, filing frequencies, account statuses, and other employer tax attributes.
  • Process accurate and timely tax profile updates within approved systems and tools.
  • Manage assigned customer cases and internal tasks from intake through resolution, including prioritization, research, documentation, communication, follow-up, closure, or transfer.
  • Provide professional support for tax profile questions, tax-code setup needs, general payroll tax inquiries, and customer-reported data concerns.
  • Review employer- and employee-level payroll tax data and research wage, tax, data, or configuration discrepancies within the team’s scope.
  • Proactively identify conditions that may affect funding, payments, filings, reconciliation, or customer reporting and initiate the appropriate correction or escalation.
  • Use established outreach and escalation processes, set clear expectations, and provide complete handoffs when specialized ownership is required.
  • Collaborate across Tax Operations and use Excel, Power BI, and other reporting tools to manage work, identify exceptions, and support decisions.
  • Meet established service levels, deadlines, quality standards, production expectations, and critical monthly, quarterly, year-end, or ad hoc business needs.
  • Protect customer and company information, participate in training and process improvement, adapt to changing requirements, and demonstrate OSV values.

Required Qualifications
  • Associate degree or equivalent combination of education and relevant experience.
  • Working knowledge of U.S. federal, state, and local payroll tax concepts and multi-jurisdictional requirements.
  • Proficiency with Microsoft Excel, including the ability to organize, compare, filter, and analyze data.
  • Demonstrated ability to manage multiple priorities and deadlines while producing accurate, well-documented work.
  • Highly organized and detail-oriented, with excellent written and verbal communication skills.
Preferred Qualifications
  • Payroll tax outsourcing or managed-services experience.
  • Experience in payroll tax, payroll operations, tax data management, or a comparable data-intensive service environment.

Schedule flexibility may be needed during critical business periods, consistent with company policy and applicable law. This position does not have direct people-management responsibility.
