Job summary

TESO Group is seeking a detail-oriented professional to oversee entity formation, EIN processing, permits, and licensing for new stores. The role supports cross-functional teams to ensure timely regulatory compliance across multiple states and entities.

The candidate should have a minimum of two years in taxation, accounting, or corporate compliance, with strong Excel and regulatory research skills. A bachelor’s degree or higher is required, and prior multi-state retail experience is preferred.

Job Responsibilities
  1. New Legal Entity Registration: Based on approved new entity formation plans, prepare and submit state-level legal entity formation/registration documents and related supporting documentation under the guidance of the Senior Tax Accountant. Monitor application status, requests for supplemental information, and approval results with the Secretary of State or other applicable government agencies, and timely obtain and archive formation/registration certificates. Maintain the Group’s Legal Entity Register and ensure that entity name, state of registration, formation date, Entity Number, Registered Agent, registered address, status, and other information are accurate and complete.
  2. EIN Applications and Tax Identification Information Management: Following legal entity formation, prepare and submit EIN applications based on approved information, ensuring the accuracy of Legal Name, Entity Type, Responsible Party, address, and other application information. Follow up on EIN application results, timely obtain the EIN Assignment / Confirmation, and archive and update entity master data in accordance with Company requirements. Maintain the EIN and related tax identification information register. When changes occur to entity name, address, Responsible Party, or other relevant information, promptly report them to the Senior Tax Accountant and assist with required updates.
  3. New Store Permit / Licensing Applications: Based on new store opening plans, identify and track the permits, licenses, and registrations required for store opening and prepare and submit application materials in accordance with local government and regulatory requirements. Coordinate with Operations, Development, Construction, HR, Legal, and store teams to collect leases, Certificates of Occupancy, entity information, EINs, addresses, responsible-party information, and other required application documentation. Monitor application progress, inspections, supplemental documentation requests, fee payments, and approval results, and promptly communicate risks that may impact store opening timelines to the Senior Tax Accountant and project owners.
  4. Ongoing Permit / Licensing Management and Renewals: Establish and maintain the Store Permit & License Register, including store, license/permit type, license/permit number, issuance date, expiration date, renewal cycle, fees, and status. Regularly review permits and licenses approaching expiration and prepare renewal, amendment, or reapplication documentation in advance to prevent business disruption caused by expired licenses. Track licensing updates required due to changes in store address, legal entity, responsible party, or scope of business, and ensure that current licenses and supporting documentation are properly maintained and archived.
  5. Compliance Registers, Documentation, and Fee Management: Maintain electronic records and tracking schedules for Entity Registration, EIN, and Permit / Licensing matters, ensuring that applications, approvals, payment receipts, government notices, and correspondence are fully traceable. Process payment requests for government application fees, registration fees, license fees, and renewal fees in accordance with Company procedures, ensuring accurate allocation to the appropriate entity/store and GL account. Regularly prepare lists of incomplete, upcoming, overdue, or exceptional items and report their status and required follow-up actions to the Senior Tax Accountant.
  6. Systems, Processes, and Internal Control Execution: Follow Company policies and SOPs governing entity registration, EIN, and Permit / Licensing applications, approvals, payments, document retention, and register maintenance. Assist in integrating Entity / License information into the Company’s centralized finance, compliance, or document management systems, ensuring complete key information, appropriate access permissions, and a clear audit trail. Proactively identify process issues such as duplicate applications, missing licenses, insufficient expiration alerts, or fragmented documentation, and assist the Senior Tax Accountant in implementing standardization, automated reminders, and process improvements.
  7. Cross-Functional Coordination and Other Tax Support: Maintain effective communication with Operations, Development, Construction, Legal, HR, Finance, IT, and store teams to ensure entity formation and Permit / Licensing requirements are completed according to store opening timelines. As assigned by the Senior Tax Accountant, assist in preparing basic entity information and supporting documentation required for tax registrations, Sales Tax, Income Tax, and other tax compliance activities. Promptly elevate government notices, rejected applications, license delays, abnormal entity status, expired licenses, or other significant compliance risks. The position may not independently make commitments or decisions beyond its authorized scope.
Education

Bachelor's degree or above in Accounting, Finance, Taxation, Business Administration, Law, or a related field.

Professional Experience

Minimum of 2 years of experience in taxation, accounting, corporate compliance, legal entity management, Permit / Licensing, or a related field. Experience working with multi-state, multi-entity, or chain retail organizations is preferred.

Knowledge & Skills

Basic knowledge of U.S. business registration, EIN requirements, and state/local Permit / Licensing compliance requirements. Ability to research and understand government application requirements. Proficiency in Excel and document/register management tools. Experience using multi-state government websites and online application systems is preferred.

Strong sense of responsibility and ownership; detail-oriented and highly organized with strong sensitivity to deadlines. Strong documentation management, project follow-up, cross-functional communication, and problem-solving skills, with the ability to simultaneously manage applications and renewals across multiple entities and store locations.

Compensation

$28 per hour + Quarterly Performance Bonus
