Job description

The primary focus of this position is to support a Talent Manager and their roster of managed talent. This role involves coordinating campaigns and brand pitches, as well as handling related administrative tasks. It is essential to the daily operations of DBA, acting as a liaison between talent and brands/agencies to ensure seamless campaign activation.

Responsibilities include:

  1. Providing administrative support to the Talent Manager and talent roster, including calendar coordination and managing call sheets/notes.
  2. Arranging travel for the Talent Manager and/or talent.
  3. Project managing partnerships from post-contract through campaign completion, including scheduling, content calendar coordination, shipments, and managing preview and live dates.
  4. Attending and/or leading kick-off calls and events/set visits with talent.
  5. Updating decks, presentations, and case studies; preparing and submitting proposals efficiently.
  6. Inputting campaign details into tracking systems and working with finance to ensure accurate invoice submission.
  7. Building relationships with brands and agencies to secure new business.
  8. Drafting and updating contracts, assisting in the redline process.
  9. Showing interest in and understanding of talent development, contract processes, rates, and negotiations.
  10. Running point on smaller negotiations, proactive pitches, and specific talent’s day-to-day management.
  11. Participating in company initiatives and ongoing professional growth.

Required skills and experience:

  • 2-4 years of administrative experience in related fields (Talent Agency, Management, PR, Marketing).
  • 2-4 years of project management experience.
  • Strong communication skills (written, verbal, visual).
  • Excellent interpersonal skills, flexibility, and adaptability.
  • Ability to work efficiently in a fast-paced environment with high workload.
  • Proactive, organized, detail-oriented, and deadline-driven.
  • Passion for social media and talent relationship development.

Preferred qualifications:

  • Experience in a talent agency or related industry.
  • Knowledge of social media platforms and analytics tools (Instagram, YouTube, TikTok, Facebook, Google Analytics, QuickBase, CreatorIQ, Social Rank).
  • Proficiency with Microsoft Office, Google G Suite, Zoom, Slack, Adobe, and other relevant tools.
