Job description

About Collectly

Collectly is a fast-growing healthcare technology company transforming revenue cycle management (RCM) through AI-driven automation. Millions of patients navigate inefficient billing systems every day, while providers face delayed payments, rising administrative burden, and operational complexity.

Collectly applies artificial intelligence to automate workflows, accelerate cash flow, and modernize the patient financial experience; enabling healthcare organizations to operate more efficiently and focus on delivering care.

There could not be a hotter space to play in. Healthcare is a $4.9T industry and is adopting AI technology at 2.2x the rate of the rest of the economy. RCM is at the heart of this transformation as it has a clear and demonstrable ROI to our customers.

The Opportunity

We are seeking a highly organized and proactive Talent Coordinator and Sourcer to join our Talent team. In this role, you will partner with the Talent Manager and Hiring Managers to ensure a seamless and positive candidate experience throughout the recruitment process. You will be responsible for scheduling interviews, managing logistics, and providing support to candidates and hiring partners.

Additionally, you will leverage your sourcing skills to identify and attract top talent through various channels. This is an excellent opportunity to contribute to our recruitment efforts, improve processes, and play a key role in shaping our organizations talent acquisition strategy.

This is a remote role in the United States and candidates based only in the United States will be considered.

Key Responsibilities

Coordination:

  • Partner closely with the Talent Manager and Hiring Managers to facilitate and streamline the interview process.

  • Schedule candidate interviews and coordinate logistics with accuracy and timeliness.

  • Manage the candidate experience, ensuring a positive and engaging journey that reflects our commitment to attracting top talent.

  • Support Talent Managers with job creation, as well as onboarding coordination and support.

  • Maintain accurate and up-to-date candidate records in our Applicant Tracking System (ATS).

  • Support efforts to standardize and document the hiring process.

Sourcing:

  • Utilize sourcing methods such as LinkedIn, job boards, and Boolean searches to identify and engage qualified candidates.

  • Provide innovative and scalable sourcing solutions to drive a robust talent pipeline.

  • Conduct proactive sourcing activities to identify potential candidates across various roles and departments, with a focus on passive candidates.

  • Review and screen resumes to assess candidate qualifications and fit.

  • Collaborate with the Talent Manager to develop effective sourcing strategies for hard-to-fill positions.

Process and Partnership:

  • Develop scalable processes and resources to enhance efficiency while maintaining a personal touch.

  • Cultivate productive relationships with cross-functional partners.

  • Communicate professionally and proactively with all stakeholders.

What Success Looks Like

Within the first 90 days, this individual will:

  • Be fully ramped on our ATS, scheduling tools, and interview process end-to-end.

  • Own interview scheduling and logistics independently for all open requisitions, with minimal oversight from the Talent Manager.

  • Have built strong working relationships with hiring managers and interview panels, understanding their availability, preferences, and process nuances.

  • Consistently deliver a candidate experience that’s accurate, timely, and reflects well on the business.

  • Be actively supporting background and reference check coordination as a routine part of the process.

  • Have supported the successful close of multiple hires end-to-end from a coordination standpoint.

Over two quarters, success includes:

  • Having the trust and process fluency to take on resume review, screening candidates for baseline qualifications and fit before they reach the Talent Manager.

  • Demonstrating sound, consistent judgement in resume screening, flagging strong candidates accurately and filtering out clear mismatches.

  • Having candidates sourced convert into actual hires.

Required Qualifications
  • 2+ years of experience in Talent Acquisition, specifically recruiting coordination and sourcing in a B2B SaaS company,

  • Experience supporting Go-To-Market hiring (e.g., Sales, Account Executives, Implementation, Customer Success, Product, etc)

  • Familiarity with a variety of tools, including ATS, HRIS, scheduling tools, and LinkedIn sourcing.

  • Demonstrated accountability and a track record of taking ownership and problem-solving.

  • Strong communication and cross-collaboration skills.

  • Comfortable working in a fast-paced environment with evolving responsibilities.

  • Creative, curious, flexible, meticulous, and thoughtful approach to work.

  • Objective and adept at conflict resolution, seeking productive solutions to partnerships.

  • Enthusiasm for process improvement and refining the experience for partners and candidates.

  • Experience driving innovative process enhancements and supporting change management.

  • Alignment with Collectly's GTM Values:

    • We are owners - we have humility and put the team first.

    • We know our numbers - we are data-driven and understand how to impact our business internally and our customers' business externally.

    • We are AI powered - we automate easy repetitive tasks and research so we can solve harder problems and have a greater impact.

    • We are one with the Buffalo - we expect that there will be challenges along the way and, like the Buffalo, we confront these challenges head on by running INTO the storm.

Core Competencies
  • Sourcing & Pipeline Generation: Builds and maintains a consistent flow of qualified passive and active candidates using multi-channel, creative sourcing strategies.

  • Coordination & Logistics Management: Manages complex, multi-party scheduling and process logistics with precision, minimal errors, and strong follow-through.

  • Candidate Experience: Creates a professional, warm, and responsive experience for every candidate, regardless of outcome.

  • Data Integrity & ATS Management: Maintains clean, accurate, and audit-ready candidate requisition records; understands the importance of documentation for compliance and reporting.

  • Stakeholder Communication: Communicates clearly and proactively with hiring managers, candidates, and cross-functional partners, adjusting tone and format to the audience.

  • Adaptability & Prioritization: Manages competing priorities and shifting requisition needs in a fast-paced, evolving environment without losing accuracy or quality.

  • Discretion & Confidentiality: Exercises sound judgement with sensitive candidate and business information.

  • Continuous Improvement: Proactively identifies process gaps and proposes scalable, practical solutions rather than waiting to be asked.

Preferred Qualifications
  • Experience recruiting or sourcing within healthcare, healthcare technology, or SaaS environments.

  • Experience with Lever (LeverTRM) or a comparable modern ATS.

  • Experience using sourcing tools like LinkedIn Recruiter.

  • Experience coordinating reference checks.
