The Opportunity

This position will be a contract to hire opportunity. Great hiring depends on great operations. In this role, you'll keep hiring running smoothly for Ensemble's technology and executive searches. This is not a recruiting role. You'll own the operational side of talent acquisition: complex interview scheduling, reporting, structured feedback loops and interview scorecards. You'll work closely with recruiters, hiring managers and senior leaders to make every search efficient, consistent and a great experience for candidates. If you love organization, precision and turning data into insight, we'd love to meet you.

What You'll Do
  • Schedule complex, multi‑panel interviews for technology and executive roles across time zones and busy leadership calendars.
  • Manage interview logistics, including virtual setups, onsite visits, travel and candidate itineraries.
  • Serve as the main point of contact for candidates on scheduling, with timely, professional and discreet communication.
  • Work with executive assistants and senior stakeholders to resolve conflicts and keep searches on track.
  • Build and send recruiting reports and dashboards covering pipeline health, time to fill, conversion rates and offer acceptance.
  • Analyze hiring data to spot bottlenecks and trends and to suggest improvements.
  • Keep data in Workday accurate and complete.
  • Prepare status updates and summaries for leadership and executive search reviews.
  • Design and maintain structured interview scorecards and evaluation guides with hiring managers and recruiters.
  • Run feedback loops that gather complete interviewer input quickly after each interview stage.
  • Summarize interviewer feedback so hiring teams can make consistent, well‑documented decisions.
  • Track how often interviewers complete scorecards, and recommend improvements that support fair, consistent evaluations.
  • Support job postings, offer letter preparation, background checks and pre‑hire paperwork.
  • Handle confidential executive search information with discretion.
  • Document, standardize and improve talent acquisition processes, templates and workflows.
  • Train hiring managers and interviewers on scheduling, scorecards and feedback expectations.
What You'll Bring
  • Bachelor's degree in Human Resources, Business or a related field, or equivalent experience.
  • 3–5 years of experience in recruiting coordination, talent acquisition operations or a similar administrative role.
  • Proven experience managing complex calendars for senior and executive leaders.
  • Strong reporting skills, including building reports and dashboards and turning data into clear insights.
  • Experience creating or managing interview scorecards or structured feedback processes.
  • Excellent attention to detail, organization and follow‑through in a high‑volume environment.
  • Polished written and verbal communication skills and confidence working with executives.
  • Sound judgment with sensitive and confidential information.
  • Experience with applicant tracking systems (Workday preferred) and scheduling tools.
  • Advanced Microsoft Excel skills (pivot tables, formulas, data visualization) plus Outlook and PowerPoint.
  • Nice to Have: Experience supporting technology or executive hiring in IT, healthcare or a technology‑focused organization.
  • Nice to Have: Experience with Power BI or Workday reporting.
  • Nice to H a: Familiarity with structured interviewing and recruiting compliance.
