Job summary

Reliance Partners, LLC is seeking a Surplus Lines Compliance Coordinator to manage multi-state surplus lines regulatory filings and tax reporting through a third-party vendor. You will help maintain licenses, renewals, and regulatory records, and support compliance across applicable jurisdictions.

Key duties include coordinating with internal teams, collecting documentation, ensuring timely filings, and assisting with accuracy checks of policy and premium data.

Qualifications

  • Associate's or Bachelor's degree in Business, Insurance, Risk Management, Finance or related field.
  • Knowledge of basic accounting principles including reconciliations and financial reporting accuracy.
  • Proven ability to multi-task effectively in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Excel, Word, and compliance management systems.

Responsibilities

  • Assist licensing, filing, and regulatory compliance activities across applicable states.
  • Support maintenance and renewal of surplus lines licenses and registrations.
  • Coordinate with producers, account managers, carriers, wholesalers, and internal teams for required documentation.
  • Prepare and submit surplus lines filings and ensure deadlines are met.
  • Maintain organized records of affidavits, filings, and compliance documents.
  • Track filing deadlines and escalating issues to the Director as needed.
  • Review policy and premium information for accuracy before filings.
  • Support tax reporting and payments of surplus lines taxes and fees.
  • Research discrepancies between policy records, premium data, and filings.

POSITION DESCRIPTION: The Surplus Lines Compliance Coordinator will support the company's surplus lines regulatory compliance activities across multiple states. This role will be responsible for ensuring accurate and timely surplus lines filings and ensuring that tax reporting is complete through our 3 rd party vendor. The Surplus Lines Compliance Coordinator should maintain Surplus Lines documentation for filing purposes and maintenance of regulatory records.

PRIMARY RESPONSIBILITIES:

  • Assist the Director of Operations & Compliance and Sr. Director of Accounting and Finance with surplus lines licensing, filing, and regulatory compliance activities across applicable states and jurisdictions.
  • Support the maintenance and renewal of agency and individual surplus lines licenses, registrations, and other state-specific requirements.
  • Support Reliance Partners and its subsidiaries such as TruckTech Insurance when it comes to Surplus Lines tasks.
  • Coordinate with producers, account managers, carriers, wholesalers, and internal teams to collect required documentation for surplus lines filings.
  • Prepare and submit surplus lines filings and related documentation within required state and stamping office deadlines.
  • Maintain accurate and organized records of diligent search affidavits, policy documentation, filing confirmations, and other required compliance records.
  • Track filing deadlines, outstanding documentation, license renewals, and other surplus lines compliance requirements, escalating outstanding or potential issues to the Director of Operations & Compliance.
  • Assist with reviewing policy and premium information for accuracy prior to completing surplus lines filings.
  • Support the Sr. Director of Accounting and Finance with the calculation, reporting, reconciliation, and payment of surplus lines taxes, stamping fees, and other applicable regulatory fees.
  • Research and assist in resolving discrepancies between policy records, premium data, surplus lines filings, and tax or fee reporting.
  • Assist with state regulatory inquiries, audits, examinations, and requests for surplus lines documentation.
  • Monitor state-specific filing and documentation requirements and communicate identified changes or questions to the Director of Operations & Compliance.
  • Maintain internal surplus lines procedures, tracking tools, and reference materials to help ensure consistent and timely processing.
  • Work closely with Operations, Compliance, Finance, and Servicing teams to identify and resolve surplus lines filing or documentation issues.
  • Assist with process improvement and automation initiatives related to surplus lines filings, licensing, documentation, and reconciliation.

QUALIFICATIONS:

REQUIRED

  • Associate's or Bachelor's degree in Business, Insurance, Risk Management, Finance, or related field, or equivalent experience.
  • Knowledge of basic accounting principles, including reconciliations, financial reporting accuracy, and premium tax calculations.
  • Strong attention to detail and organizational skills.
  • Proven ability to multi-task effectively in a fast-paced environment.
  • Able to problem-solve independently or collaboratively, depending on the situation.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Excel, Word, and compliance management systems.

PREFERRED

  • Surplus Lines Filing experience in multiple states
  • Insurance broker or agency operations experience.
  • Familiarity with transportation, trucking or specialty markets.
  • Experience with regulatory filing platforms and compliance software.
