Responsibilities

  • Coordinate and schedule surgical procedures accurately and efficiently.
  • Serve as a primary point of contact for patients throughout the surgical process.
  • Educate patients regarding surgery dates, arrival times, preoperative requirements, medications, transportation, and postoperative expectations.
  • Provide compassionate and professional support while addressing patient questions and concerns.
  • Confirm that required medical clearances, testing, consent forms, and clinical documentation are completed before surgery.
  • Communicate scheduling information and changes to surgeons, clinical staff, anesthesia providers, referring offices, and other appropriate team members.
  • Maintain accurate patient information and documentation within the electronic medical record.
  • Review surgical schedules for accuracy, completeness, and potential conflicts.
  • Assist with coordinating special equipment, implants, medications, supplies, or additional resources needed for scheduled procedures.
  • Protect patient confidentiality and follow all HIPAA requirements.
  • Support efficient patient flow and promptly communicate delays or scheduling changes.
  • Participate in quality‑improvement initiatives and help identify opportunities to improve the patient experience.
  • Maintain compliance with facility policies, accreditation standards, and applicable state and federal regulations.
  • Perform additional administrative and patient‑support duties as assigned.

Position Summary

The Surgical Coordinator coordinates and supports each patient’s surgical journey by scheduling procedures, providing preoperative instructions, verifying required documentation, and communicating with patients, providers, clinical teams, and outside offices.

This role is essential to maintaining an organized surgical schedule, promoting positive patient experiences, and ensuring that procedures are appropriately prepared in accordance with facility policies, HIPAA requirements, and applicable regulatory standards.

  • Experience working with electronic medical record systems
  • Knowledge of medical terminology, insurance processes, and surgical workflows
  • Ophthalmology or eye‑care experience

PHYSICAL DEMANDS AND WORK ENVIRONMENT (per ADA guidelines):

Physical Activity: Standing, Walking, Stooping, Grasping, Typing, and Manual dexterity. The worker is required to have visual and verbal acuity to determine the accuracy, neatness, and thoroughness of the work assigned.

Physical Requirements: Must be able to lift up to 15 pounds on a regular basis from floor to waist, 5 pounds from waist to shoulder, and 5 pounds from shoulder to overhead.

Work Environment: Professional medical office environment.
