Job summary

UPMC Corporate Health Services is seeking a Surgical Scheduling Coordinator to support orthopedic block utilization across multiple sites. The role requires coordination with OR directors, schedulers, surgeons offices, anesthesia, and staffing to optimize block time and improve regional communication.

Responsibilities include reviewing schedules 4 weeks out, circulating block time, and escalating barriers. A prior orthopedic scheduling background is preferred; a hybrid work schedule follows

Qualifications

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Experience: surgical scheduling, OR operations, or service-line coordination.
  • Experience in orthopedic surgical coordination preferred.

Responsibilities

  • Maintain forward-looking visibility into assigned specialty block schedules across ambulatory sites, surgery centers, and selected hospital-based blocks.
  • Review schedules 4 weeks out to identify PTO, conferences, planned absences, unfilled time, pending cases, and release/reassignment opportunities.
  • Circulate available block time to surgeons or practices based on priorities, site capabilities, credentialing, equipment availability, and patient needs.
  • Lead or support a 5-business-day utilization review to identify open time, pending cases, authorization issues, equipment needs, credentialing gaps, staffing/anesthesia considerations, and consolidation opportunities.
  • Maintain awareness of operational constraints, including room availability, procedure/site fit, prior authorization timing, equipment, credentialing, Epic waitlists, anesthesia, and staffing when circulating available block time.
  • Coordinate routine touchpoints with OR directors/site leads, service-line leaders, and scheduling partners to align on upcoming open time and required actions.
  • Liaise with surgeon offices and scheduling teams to reinforce timely communication, response expectations, block release needs, and utilization goals.
  • Identify and escalated barriers such as delayed authorizations, medication holds, equipment limitations, credentialing gaps, staffing/anesthesia constraints, surgeon preference conflicts, and decision-right issues.
  • Document recurring issues, follow-up needs, and process gaps to support workflow refinement, role clarity, and future scaling.Perform other duties as assigned in support of prospective surgical block utilization, service-line coordination, and operational readiness.

Job description

UPMC Corporate Health Services is hiring a Surgical Scheduling Coordinator to join our Orthopedic Team! This role will work Monday through Friday during standard business hours. The role will require local travel to other UPMC sites. After the training period has been completed, the role will allow a hybrid work schedule.

The Surgical Scheduling Coordinator supports prospective block utilization across multiple hospitals by maintaining service-line visibility into standard specialty specific block time, partnering with OR directors/site leads, practice schedulers, surgeon offices, anesthesia and staffing partners, and service-line leadership to identify opportunities to release, fill, consolidate, or elevate underutilized block time. The coordinator liaises with schedulers across the region to improve communication, planning, accountability, and timely action across sites and practices

Qualifications and Requirements
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Minimum of four (4) years of experience in surgical scheduling, OR operations, physician office operations, ambulatory surgery center operations, or service-line coordination required, OR two (2) years of experience with a clinical license.
  • Experience working in orthopedic surgical coordinator role preferred.
  • Prior experience as a surgery scheduler preferred.
  • Experience working an office with orthopedic doctors preferred.
  • Working knowledge of Epic scheduling workflows, block scheduling, OR terminology, and perioperative processes required.
  • Strong communication skills with surgeons, physician offices, OR directors, schedulers, anesthesia partners, staffing leads, and operational leaders.
  • Demonstrated ability to organize work, follow through on action items, solve problems, build relationships, and escalated barriers appropriately.
  • Clinical background preferred. LPNs, RNs, MAs with experience in surgical workflows are strongly encouraged to apply.
