Boston Children’s Hospital in Brookline, MA is seeking a Surgical Scheduler II to coordinate complex inpatient and ambulatory surgical procedures in a hybrid work setting (3 days in-person, 2 days remote). The role supports OR scheduling, pre-surgical coordination, and insurance authorization in collaboration with surgical, anesthesia, and nursing staff.

Responsibilities

  • Schedules inpatient and ambulatory surgical procedures for operating rooms per block schedules and prepares daily schedules.
  • Notifies referring physicians of upcoming procedures and coordinates additional OR time as needed.
  • Records and compiles scheduling information in hospital systems; verifies patient data.
  • Prints and distributes schedules to designated areas.
  • Communicates critical information to nursing and staff; coordinates equipment needs.
  • Monitors scheduling procedures to promote efficient OR utilization.
  • Responds to patient/parent inquiries and routes clinical questions to the right staff.
  • Schedules pre-surgery consults (e.g., cardiac clearance).
  • Monitors Epic for insurance authorization.
  • Escalates high-priority issues to supervisor and provides updates.
  • Assists with onboarding and supports staff; trains others as needed.
  • Assists in compiling monthly OR metrics reports.

Job description

Department Summary: Surgical Scheduler II (hybrid) Dental Services in Brookline, MA. 8:00am-4:30pm, 3 days in-person and 2 days remote.

Under general supervision and following established policies and procedures, coordinates complex scheduling of inpatient and ambulatory surgical procedures for operating rooms according to predetermined block schedules and established policies and procedures. Works with nursing, surgical, and anesthesiology staff to monitor and evaluate scheduling procedures and develop strategies to promote efficient utilization of surgical suites. May coordinate surgical cases for multiple surgeons at multiple locations.

Key Responsibilities:
  • Schedules inpatient and ambulatory surgical procedures for operating rooms according to predetermined block schedules and established policies and procedures. Prepares complete daily surgical schedules, including special equipment requirements and incorporating radiology and other non-surgical use of operating room facilities. Communicates with surgeons, secretarial staff, and admissions personnel to obtain needed information, coordinate and confirm schedules and identify special requirements for procedures.
  • Notifies all referring physicians of upcoming procedures and surgeries. Identifies additional OR time for surgeon separate and apart from block time as needed.
  • Records and compiles scheduling information on hospital and departmental computer systems. Reviews and verifies accuracy of basic patient information.
  • Prints and distributes schedules to designated areas of the program.
  • Identifies and communicates critical information, such as surgeon and physician availability, and special supply and equipment requests, to nursing and other appropriate staff, as necessary.
  • Works with nursing, surgical, and anesthesiology staff to monitor and evaluate scheduling procedures and develop strategies to promote efficient utilization of surgical suites.
  • Responds to requests for routine information or assistance from patients/parents, visitors, and hospital staff, referring inquiries requiring clinical or management judgment to appropriate personnel. Requests clarification of assigned tasks or instructions from supervisor as necessary.
  • Schedules any consults needed prior to the surgery as requested, i.e. cardiac clearance.
  • Monitors Epic for insurance authorization for the procedures.
  • Brings high priority issues to supervisor's attention, and provides updates to supervisor in the follow-up and/or resolution of these, and/or related issues.
  • Assists with onboarding of new staff and provide ongoing support and assistance to staff.
  • Able to work independently without direct supervision. Provides support to level I. Training others and acting as a resource.
  • Assists in the preparation and compilation of monthly OR metrics reports, as defined by the PA or DA.
Minimum Qualifications

Education: High School Diploma / GED required

Experience: Minimum 2 years of healthcare admin experience. 1 year of direct surgical scheduling experience required for external candidates required.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.
