Job summary

Together Women’s Health is opening a new location in Rochester Hills and is hiring a full-time Surgical Coordinator. You will schedule surgeries and office-based procedures, coordinate pre-surgical testing, and manage patient communications.

You’ll work closely with the Practice Manager to ensure accurate scheduling and patient flow. The role requires strong organizational and interpersonal skills, ability to handle a demanding workload, and dedication to patient service.

Qualifications

  • High school diploma or equivalent required.
  • Experience with scheduling in a medical setting is preferred.
  • Strong customer service and communication skills are essential.

Responsibilities

  • Answer phones and emails about surgical times and instructions.
  • Collect co-pays and ensure proper payments.
  • Schedule procedures and coordinate pre-surgical testing and clearances.
  • Maintain surgical inventory and prepare equipment for surgeries.
  • Enter patient information and post-surgery data into the EMR.

Women First Rochester Hills, a practice partner of Together Women’s Health (TWH) has an immediate opportunity for a full-time Surgical Coordinator to join our team!

Reporting directly to the Practice Manager, the Surgical Coordinator will be responsible for utilizing clinical knowledge to schedule appropriate procedures/surgeries per provider’s orders.

The Surgical Coordinator must schedule office-based procedures consistent with the patient’s diagnosis and procedure request. They must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. In this role, the individual must be organized, and be able to manage a demanding workload with accuracy, while maintain the utmost level of customer service.

  • Answering telephones and emails as well as common questions about surgical times, appointments, and instructions
  • Assist patients in filling out forms and collect fees such as co-pays, co-insurance, and any other monies due
  • Ensures patients have proper medical clearance and pre-surgical testing as needed
  • Enters notes/special instructions needed for scheduling in the electronic medical record
  • Preparing patients' bills and sending them to the specific insurance company
  • Scheduling patients' appointments and surgeries, sending reminders to patients, and scheduling emergency and add-on surgeries
  • Ensuring adequate preparation for surgeries by scheduling the necessary equipment and procedure rooms and maintaining the surgical inventory
  • Understanding surgical procedures, such as the necessary time a surgery takes and the medical staff necessary, to properly maintain a surgical schedule
  • Providing patients with pre- and post-operative instructions
  • Managing surgical documents, gathering, and inputting patients' information, and entering post-surgery data into patients' records
  • Ensuring all surgical cases are scheduled in a timely manner in accordance with the Physician or Surgeon's directions
  • Maintains confidentiality of patient and company related business
  • Other duties as assigned
  • A high school diploma or equivalent
  • Knowledge of customer service principles and practices
  • Proficient in computers and relevant software applications and practice management technology including electronic recordkeeping is preferred
  • Knowledge of multi-line phone system
  • Demonstrated initiative and strong organizational skills
  • Exceptional interpersonal communication skills with a positive tone
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Deals with confidential information and/or issues using discretion and judgement
  • Proven achiever, not afraid of ambitious goal setting and high expectations
  • Strong interpersonal and communication skills; experience in effectively communicating with the public
  • Strong organizational skills; must be able to manage and prioritize multiple workstreams and patient interactions simultaneously
