University of Pittsburgh Physicians - Surgery Scheduler

Location: 200 Lothrop Street (Presbyterian Hospital)

Hours: Monday - Friday, 8:00 AM - 4:30 PM

Department: UPP ENT provides comprehensive care for patients with head and neck cancer, facial plastic surgery, sleep implants, and more. We collaborate across physician teams to support patient needs.

Responsibilities:
  • Collaborate with the department to troubleshoot procedural and operational issues
  • Coordinate and monitor patient follow-up using Refract Tracker and EPIC
  • Prepare and submit admission reservations and requisitions with patient demographics and insurance info
  • Coordinate case approvals with hospital personnel
  • Discuss and arrange financial aspects, including pre-payments prior to surgery
  • Ensure informed consents are obtained
  • Provide pre and postoperative patient instructions per guidelines
  • Organize patient education seminars and schedule physicians accordingly
  • Collect data for research studies
  • Schedule pre-screening exams, diagnostic tests, post-op appointments, and surgeries
  • Maintain current and accurate billing and insurance information
  • Complete assigned special projects
  • Serve as liaison between patients and referring physicians
  • Obtain pre-certification and referrals before procedures
  • Coordinate and monitor marketing efforts
  • Attend and schedule department meetings
  • Respond to inquiries regarding surgery and distribute educational materials
