Job summary

Retina Consultants of Carolina is seeking an experienced Surgery Scheduler for our Spartanburg, SC office. This in-office role requires coordinating surgeries, pre-op instructions, and post-op follow-ups while ensuring patient satisfaction and HIPAA compliance.

The candidate will liaise with surgeons, physicians, and facilities, manage documentation, and schedule all pre/post-op visits. Monday–Friday, in-office with potential travel to other locations.

Qualifications

  • High School Diploma or equivalent.
  • At least two years experience as a surgery scheduler (preferred).
  • Strong organizational and time management skills.
  • Excellent communication and customer service skills.
  • Basic computer skills, including knowledge of Microsoft Office products.

Responsibilities

  • Schedule all patient surgeries and post-op checks with clear instructions.
  • Act as liaison between patient, surgeon, primary care physician, and facility for pre-operative preparations.
  • Organize charts and collect information for upcoming surgeries.
  • Obtain consent for surgeries and legal documentation for those who cannot speak for themselves.
  • Immediately schedule all pre- and postoperative appointments and retrieve results.
  • Answer telephone inquiries from patients and providers while maintaining HIPAA compliance.
  • Obtain prior authorization as needed for surgery.
  • Document referral and related communication in the patient’s EMR.

Job Description:

We are seeking an experienced Surgery Scheduler who can quickly learn and adapt to new processes, procedures, and workflows. The ideal candidate will demonstrate strong independent decision-making and sound judgement while maintaining a strong focus on patient satisfaction and the delivery of high-quality patient care. This is an in-office position, Monday - Friday, and reports directly to the Operations Manager.

This position will work primarily in our Spartanburg, SC office with possible travel to other office locations.

  • Schedule all patient surgeries and post-op checks. At the time of scheduling or at the pre-op visit, provide clear instructions for surgery and confirm the patient understands the instructions. Inform patients of out of pocket expenses.
  • Act as an effective liaison between the patient, surgeon, primary care physician, and the facility in all aspects of the pre-operative preparations. Demonstrate concern for patient's problem by presenting a friendly and caring manner to put patient at ease.
  • Organize charts and collect all pertinent information for upcoming surgery, such as bookings, allergies, medications, medical conditions, lens orders, insurance information accuracy, precertification and medical clearance.
  • Obtain consent for surgeries and obtain all legal documentation for those patients who cannot speak for themselves.
  • Immediately schedule all pre and postoperative appointments for the patient with their primary care providers, co-management physicians, hospitals, clinics, and labs, as needed, when surgery is decided. Follow-up and retrieve the results of the appointments and labs.
  • Answer all telephone inquiries from patients, their families, or primary care providers concerning surgery and/or related concerns as long as the information pathway is HIPAA compliant.
  • Obtain prior authorization as needed for surgery.
  • Communicate with clinical staff when a referral to an outside provider office or facility is needed.
  • Document referral and related communication into the patient's electronic medical record (EMR).

  • Basic computer skills, including knowledge of Microsoft Office products
