Job summary

Rothman Orthopaedics is hiring a full-time Surgery Scheduler for our Center City Philadelphia office. The role includes scheduling and coordinating surgical appointments, verifying patient information, and maintaining EMR records across locations; travel to our South Philadelphia office is required for coverage.

You will greet patients, handle referrals, prepare pre-operative testing and confirmations, and ensure accurate scheduling while maintaining KPIs.

Qualifications

• Two years of work experience in a medical office setting with medical receptionist or surgical scheduling.
• Knowledge of medical terminology, third party billing, insurance regulations and ICD-9 and CPT coding desirable.
• Computer skills including MS Office.
• Minimum high school diploma or equivalent

Responsibilities

• Greet and register patients in a prompt, pleasant, and helpful manner.
• Verify demographics/Insurance/Primary Care Physician, Procedure and laterality information.
• Schedule and coordinate patients' surgical appointments across locations and non-surgical studies.
• Maintain paper and computerized logging system and EMR documentation.
• Answer calls professionally and forward messages to appropriate staff.
• Prepare and send referrals, authorizations, and patient communications as needed.
• Review schedules weekly and communicate cancellations or rescheduled cases to facilities.
• Follow up labs, EKGs, and clearances prior to surgery and document in EMR.

Travel is required to our South Philadelphia office as needed for coverage purposes.**Schedule:** Monday through Friday; 8 hour shift varies between 7:30 AM and 4:30 PM**Job Summary:**The Surgery Scheduler makes, schedules, and communicates surgery appointments for patients in an efficient and timely manner.**Key Accountabilities:**Excellence in service to a variety of customers, including our patients, physicians, partner departments, and external stakeholders. Administrative accuracy and attention to detail in scheduling, and team communication. Schedulers must maintain a KPI of cases scheduled per week.**Responsibilities:*** Greets and registers patients in a prompt, pleasant, and helpful manner. Verifies necessary information: demographics/Insurance/ Primary Care Physician, Procedure and laterality.* Schedules and coordinates patients’ surgical appointments for all participating locations and non-surgical related diagnostic studies including, but not limited to Epidural Steroid Injections and EMG Testing. Maintains paper and computerized logging system.* Answers telephone in a professional manner, answers any questions that are within the area of the positions responsibility, forwards calls, or sends message by appropriate means to all necessary individuals.* Check surgery scheduling referral report every morning and make corrections as needed.* Present resources to patients as needed.* Schedules patients procedure, Pre-operative testing , Medical clearance, Orthotic (if needed) and Post-Operative appointments.* Completes reservation form and sends over to appropriate surgical facility along with all Facility forms.* Scans all patient information, reservation and consent forms as well as fax confirmations into EMR chart.* Create referral in EMR and send insurance/surgical information to the rep in order for authorization to be obtained.* Add procedure in Physicians Outlook calendar ( if Applicable )* Completes and faxes PATS prescriptions/Clearance form a \" Sx Quick fax/Referral request \" to the patients Primary Care Physician.* Obtains requested results from PCP/ Surgical Facility and scan into EMR chart with necessary communication to clinical team.* Reviews physicians schedules weekly. For any cancellations/Rescheduled cases: must send notification to facility and Physician. Clinical team will work with scheduler to fill OR schedule.* Follow up 10 days prior to patients surgical date: all Lab, EKG and Clearances results.
