Qualifications

  • High school diploma or GED required.
  • 1–2 years of experience in surgery scheduling, medical assisting, or orthopedic practice preferred.
  • Knowledge of orthopedic terminology, procedures, and treatment plans preferred.
  • Experience with insurance verification and prior authorization processes.
  • Proficiency with EMR systems and Microsoft Office applications.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Ability to maintain confidentiality and exercise professional judgment.
  • Ability to work independently and collaboratively within a team environment.

Responsibilities

  • Coordinate and schedule orthopedic surgical procedures with hospitals, ambulatory surgery centers, and other healthcare facilities.
  • Obtain and verify insurance authorizations and referrals required for surgical procedures.
  • Communicate surgical dates, pre-operative instructions, and post-operative appointments to patients.
  • Ensure all required medical records, imaging, laboratory results, and surgical documentation are completed and available prior to surgery.
  • Coordinate surgery-related testing, medical clearances, and specialist consultations.
  • Maintain physician surgery calendars and update schedules as needed.
  • Confirm surgical cases with facilities, vendors, anesthesia providers, and patients.
  • Address patient questions regarding surgery preparation, recovery expectations, and scheduling logistics.

Job description

We are seeking a highly organized, detail-oriented, and compassionate Surgery Scheduler/Medical Assistant to join our orthopedic team. This dual-role position is responsible for coordinating surgical procedures, ensuring accurate documentation and insurance authorization, and providing direct clinical and administrative support to physicians and patients. The ideal candidate will possess strong communication skills, the ability to multitask in a fast-paced environment, and a commitment to delivering exceptional patient care.

Essential Duties and Responsibilities
Surgery Scheduling Responsibilities 70%
  • Coordinate and schedule orthopedic surgical procedures with hospitals, ambulatory surgery centers, and other healthcare facilities.
  • Obtain and verify insurance authorizations and referrals required for surgical procedures.
  • Communicate surgical dates, pre-operative instructions, and post-operative appointments to patients.
  • Ensure all required medical records, imaging, laboratory results, and surgical documentation are completed and available prior to surgery.
  • Coordinate surgery-related testing, medical clearances, and specialist consultations.
  • Maintain physician surgery calendars and update schedules as needed.

  • Address patient questions regarding surgery preparation, recovery expectations, and scheduling logistics.
  • Track and maintain surgery schedules, cancellations, and rescheduled cases.
  • Ensure compliance with HIPAA and other healthcare regulations.
Medical Assistant Responsibilities 30%
  • Prepare patients for examination by obtaining medical histories, vital signs, and chief complaints.
  • Assist physicians during orthopedic examinations and procedures.
  • Room patients efficiently and accurately document information in the electronic medical record (EMR).
  • Administer injections, medications, and treatments as delegated and permitted by state regulations.
  • Remove sutures, apply braces, splints, casts, and durable medical equipment as directed.
  • Process prescription refill requests and communicate physician instructions to patients.
  • Maintain exam rooms, medical supplies, and equipment.
  • Educate patients regarding treatment plans, medications, surgery preparation, and follow-up care.
  • Assist with coordination of diagnostic testing, imaging, and referrals.
  • Perform other clinical and administrative duties as assigned.
