Atrium Health Wake Forest Baptist is seeking a Surgery Scheduling Coordinator for the WFBMC Main – Surgery: Plastic and Reconstruction. You will coordinate and schedule procedures, ancillary testing, and related patient services to ensure efficient operating room utilization.

This role serves as a liaison among physicians, patients, and insurers, requiring strong organizational skills, meticulous attention to detail, and the ability to manage multiple priorities in a fast-paced, high-volume

Qualifications

  • High school diploma or GED required.
  • 3 years of office or clerical experience or equivalent.
  • Experience coordinating scheduling and/or surgical procedures is a plus.

Responsibilities

  • Schedules and coordinates surgical cases with corresponding tests and arrangements.
  • Recommends surgery times and dates to physicians to optimize OR use.
  • Ensures scheduling is conducted properly in the appropriate area per guidelines and timing.
  • Prepares patient reports for physicians and department.
  • Maintains knowledge of scheduling software used (Cycare, Clinipac, McCormick-Dodge OR Scheduler).
  • Reviews future schedules to maximize OR availability and efficiency.
  • Processes and reviews surgical documents and forms.
  • Guides patients on logistics, insurance submissions, and pre-certification.

Job Summary

Surgery coordinator is responsible for coordinating and scheduling/posting surgical procedures, ancillary testing, and related patient services to ensure efficient operating room utilization. This role is a liaison among physicians, patients, insurance providers, requiring strong organizations skills, attention to details, and the ability to manage multiple priorities.

  • 3 years of office or clerical experience or equivalent experience


Essential Functions


  • Schedules and coordinates surgical cases with corresponding ancillary tests and arrangements by recognizing the differences between various types of procedures and differences between patients' needs within the same procedure.

  • Recommends surgery times and dates to physicians to assure that adequate space and time is allowed for completion of the surgery based on knowledge of the procedure. Maintains a thorough understanding of the logistical requirements of each procedure and the individual needs of each physician.

  • Assures that the scheduling of each surgical case is conducted and scheduled properly in the appropriate area based on knowledge of the facilities available in each room and within the guidelines established by each area and within their established timeframe.

  • Prepares necessary patient reports for physicians and the department based on knowledge of the procedures performed.

  • Maintains knowledge of all necessary computer programs used in the scheduling process that may include Cycare, Clinipac, McCormick-Dodge OR Scheduler, and other related systems.

  • Reviews future schedules based on physicians' schedules to best utilize available operating rooms and makes recommendations to surgeons based on this information.

  • Processes and reviews incoming and outgoing surgery-related documents and forms.

  • Provides guidance to patients regarding the logistics of surgery; assists patients with insurance submissions, preliminary financial arrangements, and pre-certification with insurance companies. Makes necessary arrangements for patient accommodations and serves as a resource regarding all logistical aspects of the surgical process.

  • Performs other duties incidental to the work described herein.

Under general supervision, exercises independent judgment in the coordination of surgery scheduling and determination of ancillary procedures. Responsible for providing all necessary information and guidance regarding the surgery to the patient. May produce reports that compile various surgery statistics for departmental use.
