Job summary

Extra Special Parents (ESP) is seeking a diligent Support Services Specialist to greet visitors, file documentation, and conduct regular file reviews to ensure timely compliance. The role supports Virginia's foster children and families, interacting with staff and maintaining orderly records across physical and electronic systems.

Responsibilities include coordinating audits, managing the regional vehicle fleet, supporting community-based services, and procurement of supplies.

Qualifications

• Must have excellent oral and written communication.
• Strong organization, time management and problem-solving abilities.
• Ability to maintain confidentiality and comply with HIPAA requirements.

Responsibilities

• Develop, organize, and maintain an effective filing system for all company records, including daily review and processing of incoming documentation, weekly audits, and bi-weekly verification.
• Partner with the Compliance Supervisor to maintain audit-ready files and implement corrections within seven days of audit findings.
• Oversee regional vehicle fleet records, monthly status reports, and documentation of vehicle usage and maintenance.
• Assist in delivering community-based services as needed per locality agreement.
• Manage office inventory levels and coordinate monthly procurement for continuity and cost efficiency.
• Maintain a clean, organized, and professional office environment with daily upkeep and trash removal.
• Assist in event planning, transportation, and supervised visitation needs.
• Perform other related duties as assigned.
