Responsibilities

  • Purchasing and Material Planning: Review inventory levels, open orders, and production requirements; order materials as needed.
  • Supplier Communication and Delivery Management: Communicate delivery dates, shipment status, issues, and delays; identify shortages and communicate impact.
  • Inventory and Operations Support: Record daily material usage; assist with inventory strategy and accuracy improvements; support audits and cycle counts.
  • Invoice and Documentation Management: Review supplier invoices; resolve discrepancies; file and maintain documentation.
  • Quality and Regulatory Support: Assist with supplier-related quality issues and regulatory records.
  • Sourcing, Cost Analysis, and Logistics Improvement: Obtain quotations; compare suppliers; participate in cost analyses and process improvements.
  • Safety and Cross-Functional Collaboration: Follow safety policies; work with cross-functional teams across departments.

Job Emphasis And Purpose

The Supply Chain Coordinator supports the day-to-day operations of the Supply Chain department by coordinating purchasing activities, inventory management, supplier communication, material planning, and supply chain documentation. This position works closely with Operations, Customer Facing, Scheduling, Receiving, Quality, Accounting, and suppliers to ensure materials are available to support manufacturing while maintaining accurate inventory and timely communication of supply risks. The role is intended for an early-career supply chain professional with prior experience in logistics, warehousing, operations, purchasing, inventory control, or a related function who is ready to broaden their knowledge across purchasing, planning, supplier management, and transportation.

Key Responsibilities
  • Purchasing and Material Planning:
    • Review inventory levels, open orders, and production requirements and order materials as needed to support manufacturing demand.
    • Create, maintain, and follow up on purchase orders to ensure accurate quantities, pricing, and delivery requirements.
    • Develop and maintain supplier forecasts and communicate anticipated demand to key suppliers.
    • Learn production scheduling processes and progressively assist with material planning and scheduling activities.
  • Supplier Communication and Delivery Management:
    • Communicate with suppliers regarding expected delivery dates, shipment status, issues, and delays.
    • Proactively identify material shortages or delivery risks and communicate potential impacts to internal stakeholders.
    • Resolve delayed, incomplete, or incorrect shipments in coordination with suppliers, Receiving, Operations, and other affected departments.
    • Build and maintain professional supplier relationships that support reliable supply and timely problem resolution.
  • Inventory and Operations Support:
    • Complete daily inventory usage transactions by recording material consumed during the prior business day.
    • Assist with inventory strategy, including inventory organization, material market assignments, process flow, and inventory accuracy improvements.
    • Support receiving issue resolution, inventory audits, and cycle counts as needed.
    • Investigate inventory discrepancies and coordinate corrective action with appropriate cross-functional partners.
  • Invoice and Documentation Management:
    • Review and approve supplier invoices in a timely manner to support prompt payment and end of month close.
    • Resolve invoice discrepancies involving pricing, quantities, receipts, freight, or purchase order information.
    • File and maintain supplier quality, regulatory, purchasing, and compliance documentation in accordance with company requirements.
  • Quality and Regulatory Support:
    • Assist Quality with supplier-related quality issues, documentation requests, and corrective action follow-up as needed.
    • Coordinate with suppliers and internal teams to obtain and maintain required certificates, regulatory records, and supporting documentation.
  • Sourcing, Cost Analysis, and Logistics Improvement:
    • Support sourcing activities by obtaining quotations, comparing suppliers, and completing cost analyses.
    • Participate in cost savings, process improvement, and supplier performance initiatives.
    • As knowledge and experience develop, assist with evaluating current Incoterms, freight responsibilities, transportation modes, and logistics costs to identify improvement opportunities.
  • Safety and Cross-Functional Collaboration:
    • Perform all responsibilities in accordance with company safety policies, procedures, and required practices.
    • Maintain awareness of hazards when working in office, warehouse, receiving, and manufacturing areas and promptly communicate safety concerns.
    • Work effectively on cross-functional teams and build productive relationships with Operations, Customer Facing, Scheduling, Receiving, Quality, Accounting, and other departments.
    • Take ownership of assigned responsibilities, follow through to completion, and proactively identify issues and improvement opportunities with limited supervision.
Qualifications / Expectations
  • Associate's or Bachelor's degree in Supply Chain Management, Business Administration, Operations Management, Logistics, or a related field preferred; equivalent relevant experience will be considered.
  • At least one year of experience in supply chain, logistics, warehousing, inventory control, purchasing, manufacturing operations, production planning, or a related function.
  • Self-starter who demonstrates initiative, takes ownership of responsibilities, and can work independently with limited day-to-day direction.
  • Demonstrated ability to collaborate effectively and communicate professionally on cross-functional teams.
  • Basic proficiency with Microsoft Office Suite, including Outlook and Excel; must be able to enter and organize data, sort and filter information, and use basic formulas.
  • Strong attention to detail, organization, follow-through, and time management.
  • Ability to prioritize multiple responsibilities and respond effectively to changing business needs in a manufacturing environment.
  • Strong written and verbal communication skills, including the ability to communicate professionally with suppliers and internal stakeholders.
  • Basic analytical and problem-solving skills with the ability to identify risks, investigate issues, and recommend practical solutions.
  • Experience with ERP or MRP systems preferred.
  • Interest in developing broader knowledge of purchasing, inventory management, supplier management, production scheduling, and logistics.

Working Hours / Environment
  • This is a full-time position generally performed during normal business hours. Additional hours may occasionally be required based on business needs.
  • Work is performed in an office setting with regular time in manufacturing, warehouse, receiving, and inventory areas as needed.
  • The employee must follow all applicable safety requirements, including use of required personal protective equipment when entering designated areas.

Physical and Mental Demands
  • Frequently required to sit at a desk or workstation and work at a computer terminal for extended periods of time.
  • Digital dexterity and hand-eye coordination sufficient to operate office equipment and inventory scanning devices.
  • Ability to speak to and hear employees, suppliers, and other business contacts by phone, video conference, or in person.
  • Ability to stand, walk, and move throughout office, warehouse, receiving, and manufacturing environments as needed.
  • Light lifting and carrying of supplies, files, and materials as required.
  • Additional mental requirements include analyzing, comparing, organizing, prioritizing, communicating, problem solving, exercising judgment, and interpreting information.
