Job summary

Carnegie Mellon University’s Finance Division is seeking a Supervisor for the Accounts Payable team to lead daily operations, provide guidance to AP staff, and partner with vendors. This role emphasizes accuracy, vendor management, and process improvements in a hybrid Pittsburgh-based environment.

You will back up AP staff, coordinate with Procurement, and drive month-end close activities while ensuring excellent customer service and risk mitigation.

Qualifications

  • Bachelor’s degree required.
  • 3-5 years of accounts payable experience required.
  • A combination of education and relevant experience may be considered.

Responsibilities

  • Perform and oversee core functions of AP: payment processing for ledgers and system maintenance (including 1099 reporting).
  • Process invoices in Perceptive Content and Brainware; manage supplier queues.
  • Oversee AP Help Inbox and ensure timely responses; back up AP staff as needed.
  • Prepare and revise AP processes, assist with special projects and system implementations.
  • Assist with monthly/annual close procedures and daily bank-related tasks.

Carnegie Mellon University’s Finance Division is searching for aSupervisor for their Accounts Payable team. This is an excitingopportunity for someone who thrives in an interesting andchallenging work environment. You will contribute to the departmentby providing support by assisting the manager in ensuring effectiveand efficient daily operations of the department and will provideguidance and mentorship to the AP representatives. This person willalso take on various projects for the department and will be a primary point of contact for vendors. The AP Supervisor isresponsible for leading and performing the operations of theaccounts payable department and is expected to work directly withstaff at all levels and/or external customers. This includes but isnot limited to mitigating risk, customer service, accounting,supplier management, system updates and invoice triage.

Core responsibilities include:
  • Perform and oversee the Core Functions of AP as assigned:
    • Payment processing for all ledgers
    • System supplier maintenance including but not limited to:
      • Review of documentation for supplier set up and accurate taxreporting (1099 process)
      • Quarterly and annual review of supplier information for 1099reporting
      • Review of daily supplier entry for domestic and internationalsuppliers
      • Research PaymentWorks feedback and alerts to resolution
      • Resolution of Perceptive Content supplier queues
    • Invoice processing in Perceptive Content and Brainware.
  • Oversight of the AP Help Inbox and ensuring timelyresponses.
  • Assist in oversight of day-to-day operations of APRepresentatives. Also, will back up all AP staff as needed. Makeand inform supplier management recommendations. Research ofsupplier questions and recommendation for resolution. Coordinationwith Procurement on supplier management.
  • Prepare and revise documentation of AP processes and proceduresand ensure AP staff are informed and following the departmentsdocumented procedures; Assist with special projects and systemimplementations and improvements as requested by the AP Manager insupport of the overall AP mission.
  • Assist the AP Manager with the accurate completion ofmonthly/annual close procedures and associated dailyprocesses.
  • Perform daily tasks, which include but are not limited to, bankreturns, escheatment letters, and vendor and campus refundchecks.
Qualifications:
  • Bachelor’s degree required
  • 3-5 years of accounts payable experience required
  • A combination of education and relevant experience from whichcomparable knowledge is demonstrated may be considered.

  • Work Posture: This position is operating on a hybridscheduleTypical Work Schedule: Monday-Friday from8:30-5:00pm. An alternate work schedule allowing for evening andweekend hours will be required on occasion.
