POSITION HOURS AND DAYS VARY. PAY FOR POSITION: 2025-26 Salary $21.86/hourly

Description

This position provides a variety of office support to an assigned program, including receptionist activities, composing and typing correspondence and reports, record tracking, budget or financial tracking, providing customer service, operating a computer, maintaining knowledge of program rules and regulations including State reports, producing custom reports, and other support functions.

Reporting Relationships

Reports to the Assistant Director of Human Resources; also reports to school principal building administrator(s) and receives guidance from certificated staff while substituting at specific locations.

Essential Functions
  1. Maintains a variety of program records, tracks compliance, inputs data, produces reports, monitors grant monies, coordinates assessment materials, records, schedules, and results.
  2. Prepares monthly newsletters, routine forms, memoranda and correspondence; proofreads and distributes materials.
  3. Answers telephone, greets office visitors, provides program information and advice to staff, parents, and professionals; routes callers and takes messages, maintaining open communication lines.
  4. Reviews and balances budgets with monthly financial reports, monitors receivables, makes coding changes and postings.
  5. Maintains inventory and records.
  6. Operates a computer and various software packages, providing routine and custom reports.
  7. Maintains current knowledge of program rules, regulations, laws, and procedures; processes materials for compliance.
  8. Tracks projects and deadlines; coordinates with others to meet program deadlines; reports monthly enrollment counts.
  9. Provides clerical support: typing correspondence, reports, memoranda; composes correspondence; maintains calendar; makes travel arrangements; creates and maintains files; takes minutes; prepares agendas.
  10. Receives, opens, dates, stamps, and routes incoming mail; screens mail and takes action on appropriate items.
  11. Models appropriate behavior, protecting confidential information per district ethical guidelines.
Other Functions
  • Provides backup and peak load assistance as requested.
  • May work with auditors or compliance personnel.
  • May purchase refreshments for meetings and conferences; track expenses.
  • May serve on district committees or departmental work teams.
  • Performs related duties consistent with scope and intent of the position.
Mental and Physical Demands

Requires adaptability to shifting priorities, concentration, attention to detail, and occasional handling of difficult individuals.

Exposed to visual display terminal for prolonged periods, required to sit for prolonged periods; some positions may require travel to school sites.

Minimum Qualifications

Education and Experience

Two (2) years of training in secretarial procedures, maintaining detailed records and customer service.

Allowable Substitutions

Advanced training in business or secretarial procedures may substitute for up to one (1) year of required experience, and other alternatives may be acceptable.

Licenses/Special Requirements

Fingerprinting and background check; infection control training; valid Washington state driver’s license and good driving record may be required; First Aid and CPR certification required if working in the health room.
