Job summary

Miami University is seeking a Student Services Technician to support Admissions, Registrar and Student Financial Assistance. The role handles daily administrative tasks, phone inquiries, calendar management, and front desk coverage to ensure a smooth visit experience for prospective students and families.

Responsibilities include processing applications, coordinating meetings, maintaining files and databases, and reporting on program activities.

Qualifications

  • Requires 12 months of coursework or training beyond high school and two years related experience.
  • Knowledge of unit's operations, policies, and procedures.
  • Knowledge of computers and office applications.
  • Knowledge of FERPA and related state/federal laws.
  • Oral and written communication skills.
  • Ability to work with people with diverse backgrounds.
  • May require supervisory, clerical and/or research skills.

Responsibilities

  • Manage the visit phone line and direct callers to ensure timely responses.
  • Assist the Senior Visit Coordinator with front desk coverage and room scheduling.
  • Provide calendar management, triage calls, and meeting agendas.
  • Provide event and project support and maintain student files and databases.
  • Serve as information resource for students and parents; resolve admissions issues.
  • Interpret policies and procedures.
  • Assist students and parents with admissions, registration, and financial aid tasks.
  • Process applications, credentials, registration, course evaluation, scheduling, transfer coursework, loan and scholarship processing.
  • Monitor projects and implement necessary changes.
  • Gather and analyze statistics; produce reports.
  • Answer phones, type, coordinate bulk mailings, order supplies.
  • Other duties as assigned.

Job Description Summary

Performs a variety of moderately complex administrative tasks requiring some independent judgment related to ensuring the successful completion of the daily operations of Admission, Registrar and Student Financial Assistance

Essential Duties
  • Assist in the daily management of the visit phone line by identifying the customers’ needs and directing callers to ensure impeccable customer service and timely response rate to all inquiries and concerns related to the visit experience.
  • Assist the Senior Visit Coordinator, including front desk coverage, room scheduling, coordinating faculty appointments, etc.
  • Provide administrative support including calendar management, triaging calls, preparing agendas for meetings, as well as other duties as requested.
  • Provide event and project support, as requested Maintains complete, accurate, and up-to-date files and computer databases on students.
  • Serves as informational resource for students and parents; investigates and resolves problems and difficulties regarding admission, registration and financial assistance.
  • Interprets policies and procedures.
  • Assist students and parents in various routine and non-routine activities regarding admissions, registration, and financial assistance.
  • Performs a variety of intermediate to complex administrative tasks which may include process admission applications, credentials, and decisions; registration, course evaluation, classroom scheduling and evaluate transfer coursework; process student loan applications, monitoring loan progress, and process scholarship application.
  • Monitors and reviews projects; ensures all necessary changes are made.
  • Gathers and analyzes statistical information regarding admission, registrar and student financial assistance's programs and activities; produces reports.
  • Performs a variety of administrative tasks including answering phones, typing, coordinating bulk mailings, ordering supplies and copying.
  • Other duties as assigned.
Minimum Qualifications
  • Requires twelve months of coursework or training beyond high school and two years of related experience, or an equivalent combination of education and experience.
  • Required Knowledge, Skills, and Abilities.
  • Knowledge of unit's operations, policies, and procedures.
  • Knowledge of computers and office applications.
  • Knowledge of related state and federal laws, e.g. FERPA.
  • Oral and written communication skills.
  • Ability to work with people with diverse backgrounds.
