Student Records Manager

We are recruiting for an experienced and organised Student Records Manager who will lead and manage the NIoT’s operational delivery of student records within Registry. The postholder will ensure that all aspects of student records and student funding at the NIoT are compliant with rules and regulations and that processes are efficient.

The Registry team at the NIoT plays a crucial role in the mission of the NIoT by delivering services which support the administration of student records from enrolment through to graduation. The Registry ensures that all aspects of the student lifecycle meet regulatory requirements and provide an exceptional student experience.

About The Role

We are recruiting for a Student Records Manager to lead and manage the NIoT’s operational delivery of student records within Registry. The postholder will ensure that all aspects of student records and student funding at the NIoT are compliant with rules and regulations and that processes are efficient. The postholder will be the main point of contact for Faculties and NIoT staff in relation to student records and student finance. The postholder will be expected to work closely with colleagues across the NIoT to ensure that processes and procedures support the delivery of an exceptional student experience.

Corporate Responsibilities
  • To ensure that the responsibilities of the role are carried out in a way which reflects the mission and the values of the NIoT
  • To be aware of and observe all policies, procedures, working practices and regulations, and in particular to comply with policies relating to Equal Opportunities, Health and Safety, Confidentiality, Data Protection and Financial Regulations, reporting any concerns to an appropriate person
  • To comply with all reasonable management requests.
Key Responsibilities
  • To manage and scrutinise maintenance of trainee records, including financial data for accuracy status and correct fee for trainees.
  • Work closely with the Faculties, Regions and the NIoTs Associated Colleges on enrolment support, enrolment operations and onboarding.
  • Lead on auditing and compliance of student records through data tracking and data analysis.
  • Managing regular and timely production of exception reports, taking responsibility for subsequent correction of data and enhancements to systems and processes.
  • To manage processes required for the Student Loans Company, including changes in student study and/or fees and day-to-day management of the Student Finance England (SFE) database for accuracy of data.
  • To manage the processes for the distribution of Bursaries and Scholarships.
  • To substantially support with preparations for statutory funding bodies and SFE returns within given deadlines.
  • To manage registration of student data with any third-party services.
  • To manage responses to trainee requests for amendment of the student record, explaining the impact of any such changes and advising on relevant policy, including accrediting bodies and those of Student Loans Company.
  • To manage support for and guidance on student records processes and procedures.
  • To lead on student finance procedures including HEP and finance agreements.
  • To ensure maximum effectiveness of existing and future ICT systems and the collection of tuition fee income by regular liaison with both the NIoT Finance and IT Support Teams.
  • To manage an efficient process of creating and updating accurate student records, to allow for enrolment and effective updates of data on records.
  • To lead and manage any student records projects through to succession with regular liaison with the NIoT IT Support Team and external agencies where required.
  • To support and manage student records staff and to supervise and direct their work to accurately maintain enrolment, registration and fee records in our student records system and externally within designated deadlines.
  • To deliver appropriate training and briefing sessions for colleagues across the NIoT and externally on student records policies and operational processes.
  • To sit on the viva assessment panels for a maximum of three days per year to support the process.
Essential Criteria
  • A commitment to the aims of the National Institute of Teaching
  • An interest in the education sector and a belief in the value of teachers and school leaders
  • A bachelor’s degree, or equivalent
  • Substantial experience of operations and management of student administration, particularly in student records and student finance
  • Strong understanding of UK higher education regulations and significant experience of Student Finance England regulations and processes
  • Excellent interpersonal and communication skills
  • Excellent organisational skills and attention to detail
  • Ability to receive, understand and convey information that needs careful explanation or interpretation e.g. procedures or regulations and provide guidance to others
  • Strong relationship management skills, including communication, engagement, facilitation and negotiation skills
  • Knowledge of data protection regulations and best practices in handling sensitive information
  • Experience of managing complex administrative processes in an educational setting and managing large data sets
  • Experience of planning, prioritising and organising team tasks to meet deadlines and monitor service delivery and quality
  • Proficient in the use of MS Office software packages, such as Word, Excel and Outlook
  • Experience of using and developing a management information system or CRM system
  • Experience of managing, analysing, interpreting and presenting data
  • The ability to problem solve to resolve both operational and strategic issues
  • Experience of designing and delivering improvements to processes and/or services

Contract: Full Time. Fixed term contract for 4 years due to funding.

Salary: £48,226 per annum + benefits (plus London weighting if applicable).
