Job summary

AZCO is seeking a Staff Subcontract & Supplier Registration Specialist in Appleton, WI to prepare Subcontracts, negotiate terms, and ensure compliance with administrative requirements. The role also registers new suppliers in ERP, maintains registrations, and coordinates with Legal and Project teams.

The position emphasizes attention to detail, data accuracy, and strong communication skills to support procurement activities and supplier management.

Qualifications

• High School Diploma/GED with 12 years of related experience, or Associate Degree with 10 years of related experience.
• Strong analytical skills, including data interpretation.
• Excellent written and verbal communication skills.
• Knowledge of industry accepted small/diverse business classifications.
• Proficient in Microsoft Office; including macros, Outlook, and Adobe Acrobat.

Responsibilities

• Prepare, review, modify, and finalize Subcontracts in line with company policy.
• Identify and include flow-down terms from customer contracts to Subcontracts.
• Maintain Subcontracts records and follow up on execution and admin requirements.
• Maintain and update Subcontract templates per legal direction and ensure proper versions.
• Prepare and issue Standing Agreements to Subcontractors who qualify.
• Register new suppliers in ERP and manage registrations, including expirations.
• Work with third-party providers and suppliers to ensure compliance with Subcontract and supplier registration requirements.
• Process Comdata P-Cards
• Review and process Subcontract invoices after verifying execution and COI/Lien Waiver.
• Monitor data and reports for accuracy; ensure quality assurance on data.
• Perform other duties as assigned and comply with policies.
