Job summary

Rare is seeking an organized Executive Assistant to support its Senior Vice President of Innovative Finance and the Strategy & Operations team. This role drives executive briefings, calendar management across time zones, and coordination with governments, donors, investors, and partners.

The successful candidate will manage complex schedules, prepare travel itineraries, and maintain stakeholder histories to improve decision-making and organizational effectiveness in a fast-paced international

Qualifications

  • Bachelor's degree or equivalent professional experience.
  • Minimum of 3 years supporting senior executives, leadership teams, or complex international programs.
  • Excellent written and verbal communication skills.
  • Ability to work effectively across cultures, countries, and time zones.
  • High proficiency with Microsoft 365, Teams, SharePoint, PowerPoint, Excel, Outlook, Zoom.

Responsibilities

  • Prepare executive briefing materials and stakeholder profiles ahead of meetings.
  • Coordinate internal/external meetings with governments, donors, investors, and Rare leadership.
  • Monitor SVP's calendar across global time zones and anticipate scheduling conflicts.
  • Support travel itineraries, briefing materials, and routine correspondence.
  • Maintain centralized database of relationships and track external meetings for knowledge sharing.
  • Assist with procurement, onboarding, and other operational processes.
  • Help coordinate special projects and identify AI-based process improvements.
