JOB DUTIES : The function of the Materials Management unit is to coordinate, monitor, disburse, and standardize the procurement of supplies, equipment and services for West Hawaii Region (WHR); maintain the inventories of supplies and equipment for Kona Community Hospital (KCH), Kohala Hospital (KOH), and affiliated outpatient facilities; account for the payment, disbursements, vouchers, and reports of the Materials Management unit to the Fiscal Services Section; and to negotiate, document, and execute contracts for goods and services for the West Hawaii Region.
The primary responsibility of this position is to provide clerical assistance in the processing of purchasing documentation, inventory data entry, and regional supply tracking. Working under direct supervision, the incumbent ensures clerical accuracy, maintains procurement records, and performs routine database updates to support the Central Supply and Purchasing operations of the West Hawaii Region (WHR) serving as the West Hawaii Regional Center, which also includes Kohala Hospital (KOH) and affiliated outpatient facilities.
The incumbent determines immediate supply needs, orders replenishment stock in accordance with regional purchasing guidelines, and maintains a rigorous tracking system to ensure material integrity and invoicing accuracy. Daily responsibilities include performing precise database inputs within specialized platforms—ERP—requiring a strong command of medical terminology and high-volume data tracking. Working in a fast-paced environment that demands effective task prioritization, the employee serves as a critical link to clinical teams and nursing staff, utilizing tact, diplomacy, and absolute confidentiality to ensure regional supply standards and compliance boundaries are strictly maintained
This position may be required to work shifts, weekends, and holidays.
THE MINIMUM QUALIFICATION REQUIREMENTS ARE: Applicants must meet all of the following requirements. Please note that unless specifically indicated; the required education and experiences may not be gained concurrently. In addition, qualifying work experiences are based on a 40-hour work week.
BASIC REQUIREMENTS:Applicants must possess either experience (paid or unpaid), education, training or any combination thereof which demonstrated the ability to read and understand detailed but routine instructions or procedures; compare words and numbers quickly and accurately and perform mathematical calculations including multiplication and division.
GENERAL EXPERIENCE: One and one-half (1½) years of work experience which involved a variety of clerical tasks which demonstrated knowledge of arithmetic including multiplication and division; and the ability to follow oral and written instructions, carry out procedures in clerical work systems, speak and write simply and directly, and compare words and numbers quickly and accurately.
SUBSTITUTIONS ALLOWED:
SUBSTITUTION OF SPECIALIZED EXPERIENCE FOR GENERAL EXPERIENCE: Excess Specialized Experience may be substituted for the required General Experience on a month-for-month basis.

KNOWLEDGE AND ABILITIES REQUIRED:
KNOWLEDGE OF: Storekeeping practices, methods and procedures; inventory procedures and record keeping; shipping procedures; arithmetic up to and including the multiplication of decimals and long division.
ABILITY TO: Plan and carry out a storekeeping operation; maintain storage and inventory records; learn and apply applicable policies and procedures of the agency; make arithmetic computations; inspect goods for quantity and quality against purchase orders, invoices and specifications and determine when to reject; follow oral and written instructions; write routine correspondence, summaries and reports; lift and carry moderately heavy objects.
