Citi Trends in Savannah, GA is seeking a Store Maintenance Coordinator to serve as the central point of contact for store maintenance requests and ensure issues are entered, dispatched, tracked, and followed through to resolution. The role requires strong customer service, attention to detail, and proactive communication with stores, vendors, landlords, and internal partners.

Qualifications

  • Knowledge of HVAC, plumbing, and electrical systems required.
  • Advanced proficiency in Microsoft Office required, particularly Excel, Outlook, and Word; must be comfortable using Outlook to manage high-volume follow-up, communication, and documentation.
  • Must be well organized and have a strong ability to pay attention to detail.
  • Must be able to effectively communicate with others, identify problems, and resolve potential conflicts.
  • Ability to understand, monitor and critically review contracts for facility services, and the ability to work effectively with said vendors.

Responsibilities

  • Provide timely, professional, customer-focused communication with store personnel to understand maintenance issues, gather needed details, and ensure stores receive consistent follow-up through resolution.
  • Coordinate store repairs and preventative maintenance agreements and scheduled services including but not limited to HVAC, electrical, plumbing, roofing, door/glass repairs, store, etc.
  • Enter, update, and maintain maintenance requests, work orders, vendor notes, service histories, invoices, contracts, and related documentation daily with a high degree of accuracy.
  • Dispatch vendors, communicate repair needs clearly, assist in diagnosing problems, obtain bids where necessary, coordinate solutions, manage invoices, and provide ongoing follow-up until each issue is fully resolved.
  • Arrange for Landlords to make repairs when needed and obtain Landlord reimbursement for repairs where applicable.
  • Liaison with applicable Corporate Office management to obtain approval for higher cost repairs.
  • Track all Store Maintenance issues and prepare weekly reports, data summaries, and KPI updates for the Vice President of Store Operations Administration, including open work orders, aging items, vendor response, invoice status, and follow-up activity.
  • Performs other duties as may be assigned.

External Description

CITITRENDS is seeking a Store Maintenance Coordinator to serve as the central point of contact for store maintenance requests, ensuring issues are entered, dispatched, tracked, and followed up on through resolution. This role requires strong customer service, attention to detail, and consistent communication with stores, vendors, landlords, and internal partners. The coordinator is also responsible for maintaining accurate maintenance records, invoices, contracts, service histories, reports, and KPIs to support timely repairs, vendor accountability, and operational decision-making.

KEY RESPONSIBILITIES/ OUTCOMES

REQUIRED SKILLS & ABILITIES
  • Knowledge of HVAC, plumbing, and electrical systems required.
  • Advanced proficiency in Microsoft Office required, particularly Excel, Outlook, and Word; must be comfortable using Outlook to manage high-volume follow-up, communication, and documentation.
  • Must be well organized and have a strong ability to pay attention to detail.
  • Must be able to effectively communicate with others, identify problems, and resolve potential conflicts.
  • Ability to understand, monitor and critically review contracts for facility services, and the ability to work effectively with said vendors.
  • Ability to read and understand documents such as general correspondence, department reports and office procedures, and coordinate repairs with stores, vendors and landlords.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Proficiency in Excel required, with the ability to build and maintain tracking tools, analyze maintenance data, prepare reports, use formulas and pivot tables, and identify trends or potential issues.
  • Experience using maintenance management, work order, vendor management, invoice processing, facilities management, or enterprise business systems preferred; must demonstrate strong technology adaptability and the ability to quickly learn new systems and platforms.
  • This position requires up to 40% travel.
EDUCATION & EXPERIENCE
  • Associate degree preferred and/or relevant work experience.
  • Preferred experience with facilities management software, enterprise business systems, maintenance management platforms, work order systems, vendor management tools, or invoice processing systems.
PHYSICAL REQUIREMENTS
  • While performing the duties of this job, the employee is regularly required to sit. The employee must frequently use hands to finger, handle, or feel; and talk; or hear.
  • The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job may include close vision, distance vision, and depth perception.
  • The incumbent must be able to work in a fast-paced environment.
