OVERVIEW

Twin Cities STEM is seeking a dynamic and organized individual to join our team as a Volunteer Coordinator. This role is vital in ensuring the successful recruitment, training, retention, and management of professional, college, and community volunteers to support our STEM initiatives.

The Volunteer Coordinator will lead efforts to enhance our current volunteer programs while exploring new opportunities to involve volunteers in advancing STEM education and outreach.

RESPONSIBILITIES

  • Volunteer Program Management: Oversee and manage all aspects of the STEM volunteer programs, ensuring alignment with organizational goals.
  • Staff Collaboration: Work closely with staff to identify volunteer needs and ensure those needs are met efficiently.
  • Volunteer Tracking: Maintain accurate records of volunteer hours and activities.
  • Database Management: Manage volunteer activities and schedules using the volunteer database.
  • Community Outreach: Engage in proactive community outreach to recruit prospective volunteers.
  • Event Coordination: Maintain and update the volunteer calendar of events, and coordinate volunteer involvement.
  • Volunteer Development: Plan and conduct volunteer orientations, training sessions, and appreciation events.
  • Administrative Duties: Handle administrative tasks related to volunteer programs, including processing applications and background checks.
  • Development Support: Assist in the development and implementation of the organization’s strategic volunteer plans.
  • Onsite Coordination: Be present at all Twin Cities STEM events to support volunteer coordination and ensure smooth operations.
  • Logistics Management: Oversee the distribution of volunteer T-shirts and incentives.
  • Miscellaneous: Perform other duties as assigned to support the organization’s mission.
  • Community Engagement: Act as a liaison between the program, The University of Minnesota, OICA, community organizations, and other stakeholders.
  • Organize outreach efforts to promote the program and engage with a diverse student population.
  • Participate in local STEM events and initiatives to raise awareness of the program.

QUALIFICATIONS & SKILLS

  • Bachelor’s degree in education, counseling, student services, business, or a related field, OR an equivalent combination of education and relevant experience.
  • A minimum of 1 year of experience in project management, volunteer coordination, or a related human services field.
  • Organizational Skills: Ability to establish and maintain effective organizational practices.
  • Communication: Excellent written and verbal communication skills.
  • Project Management: Strong ability to manage multiple projects and meet deadlines.
  • Teamwork: Ability to work collaboratively in a team setting, as well as independently when required.
  • Technological Proficiency: Proficiency in Microsoft Office Suite and experience with database management.
  • Problem-Solving: Ability to produce high-quality work in a fast-paced environment with a positive, motivational attitude.
  • Professionalism: Demonstrates exceptional work ethic and maintains professionalism at all times.

WORKING CONDITIONS

Work Environment: This role is primarily office-based but will involve occasional travel to various sites to support volunteer activities. Standard office equipment such as computers, phones, and photocopiers will be regularly used.

Physical Demands: The position requires the ability to lift and carry materials, perform tasks requiring manual dexterity, and occasionally work in different physical settings, including outdoor event setups.

Position Type and Expected Hours of Work: This is a full-time, non-exempt position under the Fair Labor Standards Act (FLSA). Regular hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with occasional evenings and weekends required for events.
