Job summary

WVUH West Virginia University Hospitals is seeking a Standardized Patient Program Manager for STEPS to oversee SP program operations, recruitment, training, and performance feedback within simulation-based education.

The role requires coordinating SP activities, developing training materials, and collaborating with faculty to ensure high-quality SP cases and assessments across STEPS. Strong leadership and communication skills are essential.

Qualifications

  • Bachelor’s degree in Education, Healthcare, Public Health, Administration, or related field.
  • Two years’ teaching experience.
  • Two years of Program Management experience.
  • Master’s degree in Education, Healthcare, Public Health, Administration, or related field preferred.
  • Experience with computer software programs (Microsoft Word, Epic, LearningSpace, SOLE, E-Value).

Responsibilities

  • Manages day-to-day operation of the Standardized Patient (SP) program.
  • Oversees recruitment and selection processes for SP candidates and conducts orientation sessions.
  • Maintains SP file documentation including contact information, case experiences, training history, feedback, remediation, etc.
  • Develops educational programs for SPs and conducts training sessions including case portrayal, exam procedures, and checklists; delivers performance feedback.
  • Supervises and trains SPs in preparation for encounters and performs quality assessments of their work.
  • Oversees and coordinates SPs in teaching and assessment activities.
  • Coordinates SP activities including cases, assessment tools, SP assignments, schedules, and student coordination.
  • Identifies SP performance improvement areas and provides coaching/direction; remediates as needed and facilitates debriefings.
  • Collaborates with faculty to develop and validate SP cases and assessments for quality and accuracy.
  • Attends organizational workshops to stay current on simulation and SP use in medical education.
  • Develops training materials for SP case portrayal (affect, history, physical exam, feedback) including scripts and checklists.
  • Develops and conducts SP training sessions; participates in multidisciplinary sessions with simulation team and SPs.
  • Participates in program quality improvement initiatives for SP program and STEPS; monitors SPs in real time and provides feedback.
  • Collects student evaluations of SP sessions; assists ADE in evaluating and ensuring program quality; reviews video for quality assurance.
  • Participates in conferences and seminars for professional development.
  • Schedules SPs according to demographics and experience levels.
  • Maintains SP database and scheduling software for proper SP matching.
  • Works with Simulation Information Specialists to develop LMS materials (LearningSpace) in preparation for activities.
  • Participates in electronic recording of training sessions and examinations.
  • Manages GTA/MUTA/SPETA programs and the SP program’s quality initiatives.
  • Serves as recruiter and ambassador for the SP program within STEPS.
  • Oversees and operationalizes SP program aspects; assists with budget development and expenditures.

Identifies and monitors areas of SP performance improvement, provides ongoing coaching and direction, remediates SPs as necessary, facilitates debriefing sessions, develops solutions to ensure standardization.9. Collaborates with faculty to develop, review, and validate SP cases and assessments to ensure quality and accuracy.10. Attends and participates in appropriate organizational workshops to keep current on educational theory and practice in the use of simulation and standardized patients in medical education.11. Develop training materials for SP case portrayal (affect, history, physical examination, communication feedback, etc.) including scripts, checklists, and guide to checklists.12. Develop and conduct training sessions for the SPs recruited.13. Participate in multidisciplinary sessions with other simulation team member with SPs and other simulation task training and manikins.14. Participates in program quality improvement initiatives for SP program and STEPS.· Monitor SPs in real time and provide immediate feedback as appropriate.· Provide SPs timely feedback on performance and remediation of SPs as needed under the guidance of the ADE.· Collect student evaluations of SP sessions from course coordinators.· Assist ADE in evaluating and ensuring program quality and determining areas of improvement. This includes reviewing video recordings for the purpose of quality assurance.· Assists in collecting data for research purposes.15. Participate in appropriate conferences and seminars for professional development.16. Schedules or ensures scheduling of SPs according to required demographic and experience level.17. Maintain SP database and scheduling software to ensure proper match of SPs to activities.18. Works with Simulation Information Specialists to develop materials in LMS (LearningSpace) in preparation for activities.19. Manages the Gynecological Teaching Associates (GTA) and the Male Urological Teaching Associates (MUTA). and the Standardized Physical Exam Teaching Associates (SPETA) programs.21. Oversees and operationalized the various aspects of the SP program.24.
