Job Description

The Staffing Office Coordinator is responsible for administrative services including staffing, scheduling, payroll, system orientation, and overall human resource support for the Nursing Department. The Staffing Office collaborates with Nursing Leadership to review and develop schedules based on staffing guidelines, models, and grids to meet patient care needs, utilizing staff time efficiently and cost-effectively. The Coordinator assists in securing staff for open shifts proactively and daily to ensure appropriate coverage.

Responsibilities
  • Participates in developing staffing schedules for assigned areas; forecasts staffing needs based on established staffing matrixes and adjusts for fluctuating patient populations.
  • Assists Nurse Leaders with Personnel Budget templates and productivity metrics for variance analysis.
  • Identifies daily cost-saving opportunities to minimize overtime and 1:1 staffing.
  • Inputs scheduling changes based on sick calls, PTO/Holiday, and shift changes for nursing staff.
  • Reviews schedules for accuracy and compliance with union contracts before posting.
  • Prepares time utilization analyses and reviews trends with Nursing leadership for cost-saving opportunities.
  • Reviews open shift requests and secures coverage.
  • Reassigns staff as needed, adhering to policies and maintaining competencies.
  • Reconciles time entries, reviews overtime, and collaborates on payroll sign-off.
  • Creates reports for senior Nursing leadership and management using staffing systems.
  • Handles inquiries and maintains liaison with HR, payroll, and finance.
  • Prepares various reports such as time utilization, orientation hours, and turnover.
  • Partners with Nursing Leadership to ensure accuracy of position control and certifications.
  • May perform orientation and training related to staffing systems.
  • Handles confidential disciplinary documentation and performs related duties as required.
Qualifications
  • HS/GED and 4 years of related healthcare experience.
  • 2+ years related experience with an Associate's degree.

Compensation

The salary range for this role is $64,526.72 - $81,675 annually, depending on experience and qualifications. This does not include bonuses or additional benefits.
