Job summary

Giving Home Health Care is seeking a Staffing Coordinator to ensure our patients' homes are staffed with qualified nurses and caregivers, aligned with approved hours and plans of care. The role involves identifying staffing needs, creating schedules, and coordinating with HR and case management to fill vacancies.

In a fast-paced healthcare setting, you will support onboarding of contractors, maintain compliance with HIPAA, and provide exceptional service to patients and care teams.

Qualifications

Responsibilities

  • Identify staffing needs and vacancies due to call outs.
  • Understand plan of care for new patients.
  • Assess changes in patient acuity and plans of care.
  • Create staffing plans and coordinate with departments to fill vacancies.
  • Leverage 1099/PRN resources to meet demand.
  • Collaborate with HR to onboard contractors.
  • Schedule and conduct contractor onboarding/orientation.
  • Create schedules and issue shift confirmations.
  • Track schedules for compliance.
  • Make routine patient calls to assess satisfaction and gaps in care.
  • Ensure HIPAA and state/federal privacy compliance.
  • Participate in on-call rotation for 24/7 support.
  • Coordinate with care team and caregivers.
  • Answer phones, greet visitors, manage office supplies.
  • Manage documents for patients and contractors.
  • Track certification/training documents in MS Office, Adobe, Sharepoint.
  • Collect and maintain required clinical/non-clinical docs.
  • Manage office calendars and patient appointments.
  • Perform general office tasks as needed.

The Staffing Coordinator plays a vital role in ensuring our patients’ homes are staffed with nurses and caregivers, according to the patients’ approved hours and plan of care. This position involves identifying staffing needs, creating schedules that meet those needs, and partnering with human resources and case management to ensure vacancies are filled. This position also requires the ability to work in a fast-paced environment while maintaining warm relations and dealing with multiple levels of health care workers.

Responsibilities
  • Identify staffing needs and vacancies due to call outs
  • Understand plan of care for new patients
  • Determine any changes in acuity and/or to the original Plan of Care for existing patients
  • Create a staffing plan and collaborate with other departments to fill staffing vacancies
  • Utilize existing resources (1099 pool, PRN, differentials) to meet demand
  • Engage and collaborate with HR for onboarding new contractors
  • Schedule and conduct orientation training for new contractors
  • Create schedules and send shift confirmations
  • Track and audit schedules to ensure caregiver is compliant
  • Conduct routine patient calls to determine patient satisfaction and identify any gaps in care
  • Adhere to HIPAA, federal, and state guidelines regarding the protection of patient health information
  • Participate in an on-call rotation to ensure 24/7 support coverage for critical systems and services
  • Coordinate with members of the Care Team and Caregivers
  • Answering phone calls, greeting visitors, and maintaining office space and supplies
    Managing and storing physical and electronic documents for patients and contractors
  • Tracking certification and training documents using programs such as Microsoft Office, Adobe, and Sharepoint
  • Collecting and maintaining state required clinical and non-clinical documentation
  • Managing office calendars and scheduling patient appointments
    General office tasks as needed
Qualifications
  • Healthcare staffing or scheduling coordination experience preferred
  • Experience with MS Office products required
  • Knowledge of staffing policies, procedures, and best practices
  • Outstanding organizational skills: ability to multitask, prioritize, and adhere to deadlines
  • Key competencies include communication (both written and verbal), critical thinking, problem-solving, detail oriented, organization, prioritization, adaptability, collaboration, and teamwork.
  • Associate degree in relevant field OR have relevant job experience and knowledge base
  • You must pass a cognitive assessment to be considered for this position
  • Experience in customer service or previous administrative duties.
  • Can quickly learn and use various computer programs and applications
    Understands and has been involved with maintaining confidentiality and compliance enforcement

$23 - $27 an hour
