Caring Professionals Homecare, LLC is seeking a Staffing & Recruiting Coordinator to support our hiring and daily staffing needs, with mornings dedicated to recruiting and afternoons to schedule coordination to maintain client services.

Responsibilities include sourcing candidates for DSP, CFSS, Homemaker and related roles, posting and updating job ads, screening applicants, scheduling interviews, maintaining accurate records, and partnering with the clinical and operations teams to align

Qualifications

  • Must be at least eighteen (18) years of age.
  • High school diploma or equivalent required.
  • At least one year of recruiting, staffing, scheduling, or related experience preferred.
  • Home care or healthcare experience preferred.
  • Working knowledge of common recruiting, scheduling, and office technology is preferred.
  • Must be able to pass a Minnesota DHS background study.

Position Summary

The Staffing & Recruiting Coordinator supports the organization’s hiring and daily staffing needs. The first half of the workday is primarily dedicated to recruiting qualified field employees, and the second half is primarily dedicated to coordinating schedules, responding to call-offs, and helping maintain continuity of client services. This position requires strong organization, timely communication, sound judgment, and the ability to shift priorities when urgent staffing needs arise.

Key Responsibilities
Recruiting - Primary Focus During the First Half of the Day
  • Recruit and source candidates for field employee positions, including DSP, CFSS, Homemaker, and related roles.
  • Assist with creating, posting, updating, and managing job postings on approved recruiting platforms.
  • Review applications and resumes to identify qualified candidates.
  • Conduct initial phone screenings to assess qualifications, availability, interest, and general suitability.
  • Communicate with candidates regarding application status, required next steps, and pre-employment requirements.
  • Schedule interviews and advance qualified candidates to the appropriate hiring decision-maker.
  • Maintain accurate candidate records, recruiting notes, status updates, and follow-up activities in company systems.
  • Partner with staffing, recruiting, and operational leaders to understand hiring priorities and anticipated staffing needs.
  • Assist with job fairs, community outreach, recruitment events.
  • Support recruitment pipeline efforts to maintain adequate staffing levels.
Staffing - Primary Focus During the Second Half of the Day
  • Respond promptly to call-offs, open shifts, and urgent coverage needs to support continuity of services.
  • Match available employees with assignments based on qualifications, availability, location, client needs, and service requirements.
  • Participate in the rotating on-call phone schedule with the staffing team after becoming trained, comfortable, and proficient in the position.
  • Communicate schedule changes, shift details, and coverage updates to employees, clients, and internal team members.
  • Meet with newly hired employees following EVV training to review availability and coordinate client placement.
  • Collaborate with the designated manager and clinical team regarding service changes, client needs, and staffing alignment.
  • Maintain accurate, timely schedule-related documentation in company systems to support payroll and billing accuracy.
  • Monitor attendance patterns and recurring coverage gaps, provide operational input, and escal employment-related concerns to HR or management.
  • Address routine scheduling concerns professionally and promptly while maintaining appropriate boundaries and confidentiality.
  • Maintain confidentiality and comply with HIPAA, company policies, and applicable federal and state requirements.
Requirements
Minimum Qualifications
  • Must be at least eighteen (18) years of age.
  • High school diploma or equivalent required.
  • At least one year of recruiting, staffing, scheduling, customer service, or related experience preferred.
  • Home care or healthcare experience preferred.
  • Working knowledge of common recruiting, scheduling, and office technology is preferred.
  • Must be able to pass a Minnesota Department of Human Services (DHS) background study.

  • Ability to organize competing priorities, manage multiple deadlines, and transition between recruiting and staffing responsibilities.
  • Strong problem-solving, conflict-resolution, and real-time decision-making skills.
  • Attention to detail and accuracy in documentation, scheduling, and candidate records.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Dependability, initiative, and the ability to work independently with limited supervision in a fast‑paced environment.
  • Ability to follow established processes while adapting appropriately to urgent business needs.
Supervisory Responsibilities

This position may provide operational direction to field employees regarding schedules and service assignments. The position does not have direct authority over hiring, discipline, termination, or compensation decisions unless specifically delegated by management.

  • Maintain regular and reliable attendance during the assigned Monday‑Friday schedule.
  • Perform other related duties as assigned to support recruiting, staffing, HR, and operational needs.
