Job summary

County of Los Angeles is seeking a Staff Assistant II to support administrative analysis, budgeting, recruitment, and division operations. You will help prepare salary justifications, analyze procedures, and assist with personnel matters in a dynamic public-sector environment.

Qualifications

  • Two years of experience performing entry-level administrative analytical work at Administrative Aid or higher.
  • OR one year of experience as Administrative Assistant I, Employment Services Assistant I, Sheriff, Library Assistant II, Operations Assistant I, Sheriff Staff Assistant I, Staff Assistant or PSS in LA County.
  • Experience at a similar level and clear explanation of responsibilities will be considered.

Responsibilities

  • Prepare budget and salary justifications, and manage division budgets.
  • Analyze organizational problems and recommend procedural changes.
  • Assist in recruitment, selection, and placement of qualified employees; guide line managers on personnel administration.
  • Collect and analyze data for equipment and vehicle needs; write equipment specifications.
  • Supervise a small clerical staff in preparing and maintaining reports.

WHAT DOES A STAFF ASSISTANT II DO?
  • Prepares justification for division or bureau salaries and employee benefit, fixed assets, services and supplies budgets.
  • Analyzes and makes recommendations on organizational problems or work procedures in the division or bureau served; and participates in the implementation of changes resulting from the studies as needed.
  • Participates in the divisional or bureau personnel program by assisting the director in the recruitment, selection, and placement of qualified employees; and providing interpretation, advice and guidance to line managers on all aspects of personnel administration.
  • Collects and analyzes data, and makes recommendations on the purchase, replacement, renting,operation and repair of motor vehicles and construction equipment.
  • Collects and researches data for selected items of equipment and writes equipment specifications.
  • Supervises a small clerical staff in the preparation and maintenance of administrative reports and records as needed.

REQUIREMENTS TO QUALIFY:
  • OPTION I: Two years of experience performing entry-level administrative analytical work to assist in evaluating operations, policies, procedures, budgets, personnel matters, programs, or organizational issues at the level of Administrative Aid or higher.
  • -OR-
  • OPTION II: One year of experience as an Administrative Assistant I, Employment Services Assistant I, Sheriff, Library Assistant II, Operations Assistant I, Sheriff, Staff Assistant I, Staff Assistant, PSS in the County of Los Angeles.
  • Important note on at the level of: You may still qualify even if your job title isn’t exactly the same as the ones listed under Option I. What matters is that your experience is at a similar level — meaning your job involves similar responsibilities, requires comparable skills and knowledge, and takes place within a similar organizational structure. Please provide a clear explanation of your experience to demonstrate that it is at the appropriate level.
SPECIAL REQUIREMENTS INFORMATION:
  • * Typical duties at the level of Administrative Aid include collecting, compiling, analyzing, and interpreting data; assisting with studies and research projects; evaluating operational issues; preparing reports and correspondence; and developing or substantially contributing to recommendations for process or program improvements.
  • Acceptable Los Angeles County classes at the level of Administrative Aid include, but are not limited to, Staff Assistant, PSS, Board Specialist, Accountant I, Program Aid I, CEO, or higher.
  • ** To qualify under Option II, applicants MUST have status as evidenced by holding or having held such payroll title.
PHYSICAL CLASS:

Physical Class 2 - Light: This class includes administrative and clerical positions requiring light physical effort that may include occasional light lifting to a 10-pound limit and some bending, stooping, or squatting. Considerable ambulation may be involved.

If you have taken identical components recently for other exams, your responses may be automatically transferred to this examination. This exam contains test components that might be used on future exams, and your responses could be transferred to that exam.
