Olgoonik Corporation seeks an experienced administrative support professional to assist senior office management within the Department of State’s Protection Front Office in the Washington, DC area.

The role focuses on organizing, reporting, and coordinating across the office to relieve the Office Director and Division Chiefs of routine tasks while ensuring secure handling of sensitive information.

Qualifications

  • An Associate’s Degree and 3+ years in management disciplines; 5+ years can substitute for the degree.
  • Clear understanding of administrative operations and project management.
  • Excellent writing, oral communication, and organizational skills.

Responsibilities

  • Prepare and edit organizational charts, memos, and other office documents for DS planning and reports.
  • Input data in MS Excel and generate the office’s portion of the DS Performance Measurement Reports.
  • Compile weekly activities reports from division personnel to develop the final Office report for review by the Office Director.
  • Prepare Daily Activity Reports outlining significant daily activities affecting the office for senior Diplomatic Security management.
  • Prepare Office Weekly Activity Reports reflecting accomplishments in Domestic Operations support.
  • Prepare reports on upcoming significant activities impacting Domestic Operations and Department events.
  • Assist with security-related administrative tasks and emergency response duties as assigned.
  • Attend Bureau Planning Meetings to track policy changes within the Bureau and Department.
  • Maintain effective working relationships with staff across the Office, Bureau, and Department.
  • Prepare and submit Department Notices for senior leadership with important information for domestic operations.

Overview

The employee works within the scope of the contract to support senior office management in the Department of State’s Protection Front Office to provide professional administrative support in the management operations of the office, relieving the Office Director and Division Chiefs of many administrative tasks.

Primary Responsibilities
  • Prepares and /or edits organizational charts, memos and other office documents and material as required for the Annual DS Planning Structure/DS Annual Report and 1FAM and 12FAM revisions;
  • Utilizes MS Excel spreadsheets to input data and generate the office’s portion of the DS Performance Measurement Reports;
  • Compiles weekly activities reports obtained from division personnel to develop the final Office report for review and approval by the Office Director;
  • Compiles, prepares and submits a Daily Activity Report outlining significant daily activities affecting the office. Report is provided to the senior level of Diplomatic Security Management;
  • Compiles, prepares and submits Office Weekly Activity Reports that reflects the accomplishment of activities in support of the mission of Domestic Operations;
  • Prepares reports on upcoming significant activities which will impact Domestic Operations in regards to support of Department Events;
  • Other duties by assignment may include a variety of security-related administrative or operational tasks directed at establish and sustaining specified levels of effectiveness in security and fiscal management and in responding to emergency conditions;
  • Attends Bureau Planning Meetings to keep abreast of anticipated changes in Bureau and Department of State Policies;
  • Maintains an effective working relationship with a broad spectrum of individuals in the Office/Bureau and Department;
  • Prepares and submits Department Notices providing senior leadership with important information/notices, impacting domestic operations concerning the Department;
  • Other duties as assigned.
Supervisory Responsibilities
  • Supervisory responsibilities are not anticipated.
Education And/or Experience
  • An Associate’s Degree and three (3) years of experience related to management disciplines; Five (5) years of experience related to management disciplines can be substituted for the Associate’s degree.
Knowledge, Skills, And Abilities
  • Must possess an understanding of and have an experience-based familiarity with administrative operations, project management, policy development, and senior level support services;
  • Excellent writing ability, oral communications capabilities, and organizational skills are required;
  • Must also possess and in‑depth knowledge of the Department of State and its inner‑relationships as it applies to the overall mission of the Department of State.

  • None.
Security Clearance

TOP SECRET Clearance Level Required

  • Must have a current US Government TOP SECRET Personnel Security Clearance
  • Must have a current US Government Single Scope Background Investigation (SSBI) (less than 4-1/2 years old) or be able to successfully complete a U.S. government administered Single Scope Background Investigation.
  • Must be a U.S. Citizen.
  • Must be eligible for and able to obtain and maintain required Security Clearance/access approvals.
