Job Purpose
The Staff Accountant plays a critical role in ensuring the financial integrity of The Just One Project by maintaining accurate accounting records, supporting grant compliance, and enhancing internal financial controls. This position directly contributes to our mission by safeguarding the resources that fund our programs and enabling efficient operations that serve our community.
Responsibilities
Financial Recordkeeping & Data Entry
- Maintain and update financial records, including invoices, receipts, W-9s, ACH forms, and in-kind donation documentation.
- Utilize QuickBooks Online to input, organize, and manage financial data, including cover sheets, vendor invoices, credit card receipts, and operational bills.
- Enter and update vendor information in QuickBooks Online.
- Collect and organize staff timesheets by pay period.
Accounts Payable & Receivable
- Process ACH payments, invoice payments, and perform payment verifications daily.
- Manage and reconcile credit card expenses and bank transactions monthly.
- Assist with accounts payable and receivable functions.
- Perform reconciliation of balance sheet accounts as needed.
- Assist the Finance Manager with deposits, withdrawals, and documentation storage.
Grant Reimbursement Processing (RFR)
- Assist in the preparation of monthly and quarterly grant reimbursements (RFRs).
- Collect backup documentation, including invoices, receipts, bills, time sheets, and proof of payment (ACH, checks, credit card statements).
- Complete all related RFR forms and transaction worksheets.
- Organize RFR packets according to checklist and submit for review by the Senior Executive Director of Revenue.
- Track reimbursement submissions by date and amount.
Reporting & Compliance
- Prepare daily deposit logs ("Mail Logs") and reconcile with Development Department.
- Prepare journal entries as needed.
- Complete monthly Finance Department checklist tasks.
- Ensure compliance with non-profit financial regulations and internal policies.
Special Projects and Administrative Support
- Support the Finance Manager and Executive Leadership with delegated tasks and special projects.
- Participate in or oversee special assignments and initiatives as needed.
- Perform additional administrative duties as assigned to support the department and the organization's financial operations.
- Any other job duties as assigned.
EDUCATION AND EXPERIENCE
- Bachelor's degree in Accounting, Finance, or related field (Required)
- 5+ years of accounting experience(Required)
- Strong understanding of GAAP and nonprofit accounting standards (e.g., FASB, fund accounting)
- Demonstrated proficiency with QuickBooks Online and Microsoft Excel (Required)
- 1+ year of nonprofit experience (preferred)
- Excellent analytical, organizational, and communication skills
- Proven ability to meet deadlines and manage competing priorities
- Commitment to confidentiality and professional ethics
- CPA license or progress toward CPA (preferred)
- Experience with restricted funding and government grant accounting (preferred)

ADDITIONAL INFORMATION
- Must attend six mandatory Pop Up & Give events per year
- Must possess valid driver's license and reliable transportation
WORK ENVIRONMENT & PHYSICAL DEMANDS
- Ability to sit, use hands and fingers, talk or hear continually.
- Ability to stand, walk, reach, push, pull regularly and for extended periods of time.
- Ability to climb or balance, stoop, kneel, or crouch regularly.
- Must be able to lift, push, pull, etc. efficiently and on a regular basis.
- Ability to work in fast paced active environment
- Ability to lift and carry up to 50 lbs
- Frequently exposed to various controlled and uncontrolled weather conditions
WORK SCHEDULE & EXPECTATIONS
- This position is full-time, requiring approximately 40 hours per week.
- Occasional evening or weekend work may be required during audits or special projects.
- This role is classified as Exempt under the Fair Labor Standards Act based on administrative duties
