Job summary

BrainWorks in Huntingdon Valley, PA is seeking a Staff Accountant on a contract-to-hire basis. The role focuses on core accounts receivable, billing, cash application, and month-end close support within a stable distribution environment.

Reporting to the Controller, you will handle reconciliations, journal entries, and balance sheets, collaborating with cross-functional teams and using Excel, ERP systems, and automation to improve accuracy and efficiency.

Qualifications

• Degree in accounting/finance preferred
• 3+ years accounting experience across AR/AP, reconciliations and month-end close
• Experience with mid-to-large ERP systems and advanced Excel
• Experience in Distribution/Manufacturing/Wholesale environments
• Experience preparing journal entries and balance-sheet reconciliations

Responsibilities

• Manage monthly account reconciliations, journal entries, and close activities for cash, AR, AP, balance sheet, and other accounts
• Oversee billing, cash application, aging, ensuring accurate invoicing, payment processing, and resolution of discrepancies
• Research and resolve short pays, credits, deductions, unapplied cash, and billing errors
• Apply payments (credit card, ACH, checks) and manage deposits/undeposited funds
• Prepare schedules and documentation for management reporting, audits, tax filings and other financial requests
• Support inventory, COGS, intercompany and system conversion reconciliations as systems integrate
• Leverage Excel, automation and AI-enabled tools to improve efficiency while maintaining data accuracy

Position Title: Staff Accountant

This individual will be responsible for the accurate and timely processing of core accounts receivable functions, including billing, cash application, account reconciliations, discrepancy resolution, and month-end close support.

Reporting directly to the Controller, the ideal candidate will have hands‑on experience in accounts receivable, specifically billing and cash applications, as well as general ledger accounting, including reconciliations, journal entries, debits and credits, prepaids, accruals, and month‑end close activities. Job Description:

• Manage monthly account reconciliations, journal entries, and close activities for cash, AR, AP, balance sheet, and other assigned accounts.
• Oversee billing, cash application, account aging, ensuring accurate invoicing, payment processing, and resolution of billing discrepancies.
• Research and resolve short pays, credits, deductions, unapplied cash, and billing errors. Document the cause and correction.
• Apply credit card, ACH, and check payments accurately and keep deposits, undeposited funds, and clearing activity current.
• Prepare supporting schedules and documentation for management reporting, audits, tax filings, and other financial requests while resolving reconciling items timely.
• Support inventory, COGS, intercompany, and system conversion reconciliations as business processes and ERP systems become more integrated.
• Leverage Excel, automation, and AI‑enabled tools to improve efficiency while maintaining data accuracy, financial integrity, and confidentiality.

Must Have Qualifications:

• Associate or bachelor's degree in accounting or finance is highly preferred
• Three or more years of hands‑on accounting experience spanning accounts payable, accounts receivable, reconciliations, and month‑end close.
• Experience utilizing mid - large-size ERP systems along with intermediate MS Excel skills (pivot tables, VLOOKUP, formulas)
• Experience working in a Distribution, Manufacturing, Wholesale, product‑based business
• Experience preparing journal entries and balance‑sheet reconciliations
