About the Role

Primary Job Responsibilities
  • Create an exceptional experience for all candidates and employees throughout the interview process.
  • Own the end‑to‑end interview scheduling process, including phone screens, virtual and onsite interviews, and debrief sessions while consistently meeting and exceeding internal SLAs and performance metrics.
  • Serve as a subject matter expert and escalation point for complex scheduling scenarios, including executive‑level and multi‑panel interviews across time zones.
  • Responsible for part‑time front desk coverage, greeting candidates and guests of PitchBook and ensuring an exceptional in‑person experience.
  • Own communication with candidates, recruiters and interview teams on any logistics related to interviewing.
  • Maintain the integrity of PitchBook’s Applicant Tracking System (ATS) and ensure we’re taking advantage of all efficiencies.
  • Open new job requisitions, ensuring accuracy and consistency in posting across job boards.
  • Manage the background check process effectively.
  • Attend intake meetings with recruiters and hiring managers to understand open roles and stay engaged in the progress of open searches.
  • Utilize the ATS and other metric tools to track and report on metrics.
  • Partner with recruiters and hiring teams to identify operational gaps in coordination workflows and implement improvements that enhance efficiency, communication, and candidate experience.
  • Participate in audits, reporting, and other data analytics activities.
  • Partner, as needed, with recruiters to build and sustain diverse, high‑quality talent pipelines aligned to current and future hiring needs.
  • Collaborate with recruiters, HR Business Partners, and HR Operations to maintain and update job descriptions, including auditing posted job descriptions.
  • Support the vision and values of the company through role modeling and encouraging desired behaviors.
  • Participate in various company initiatives and projects as requested.
Basic Qualifications
  • 3+ years of experience in a recruiting coordinator role.
  • 3+ years of experience with an applicant tracking system.
Preferred Qualifications
  • Bachelor’s degree in Communications, Human Resources, or a related field.
  • Demonstrated curiosity and a genuine interest in talent acquisition.
  • Strong organizational skills with excellent attention to detail and the ability to meet deadlines.
  • Proven ability to think on your feet and handle issues with resourceful solutions.
  • Demonstrated prior success in a role requiring extensive internal and external customer interaction.
  • Excellent verbal and written communication skills.
  • Comfortable working with stakeholders at all levels within the organization.
  • Experienced in handling ambiguity and shifting priorities.
  • Must be able to work independently and as a team member in a fast‑paced environment with the ability to juggle multiple competing tasks and demands.
  • Proficiency with the Microsoft Office suite, including in‑depth knowledge of Outlook, Word, and Excel, with the ability to pick up new systems and software easily. (Experience with Greenhouse or Workday is a plus.)
  • Must be authorized to work in the United States without the need for visa sponsorship now or in the future.

    Compensation
    • This position is non‑exempt and paid a salary of $65,000‑$75,000.
