Job summary

Responsibilities

• Prepare daily work orders and distribute assignments to team members.

• Maintain accurate inventory records using computerized systems.

Job description

The Senior Project Order Associate is responsible for preparing and coordinating project work orders and supporting activities related to the processing, handling, storage, and shipment of chemical compounds. This position serves as a key operational resource within the site and works closely with site leadership to ensure project requirements, production activities, and daily workflows are completed accurately, safely, and on schedule.

The Senior Project Order Associate also assists the Site Manager with oversight of production team activities, training, workflow coordination, and day-to-day operational needs to support efficient site operations.

Essential Duties and Responsibilities

• May include some or all of the following. Additional duties may be assigned based on business and operational needs:
• Prepare daily work orders and distribute assignments to appropriate team members.
• Coordinate activities associated with project orders from receipt through completion.
• Receive, ship, store, and properly handle chemical compounds and related materials.
• Prepare shipping documentation, labels, and other required materials for outgoing shipments.
• Register and process incoming chemical compounds and materials in applicable systems.
• Monitor project requirements, priorities, and deadlines to support timely and accurate completion of orders.
• Partner with the Operational Manager and Site Manager regarding project status, workflow needs, operational priorities, and issue resolution.
• Assist the Site Manager with oversight and coordination of production team duties.
• Support the training and onboarding of new production team members.
• Process weigh order requests, including precisely measuring chemicals according to established order instructions and procedures.
• Perform tare weigh, weight capture, and gross weigh activities for applicable orders.
• Maintain accurate inventory records using computerized inventory and operational systems.
• Identify workflow, inventory, or production concerns and elevate issues to site leadership as appropriate.
• Support continuous improvement efforts related to production processes, workflow efficiency, quality, and safety.
• Maintain a clean, organized, and safe working environment, including cleaning work areas and utensils, restocking supplies, sweeping workstations, and removing waste.
• Follow standard operating procedures, safety requirements, quality standards, and established deadlines.
• Maintain a regular work schedule and demonstrate consistent attendance and punctuality.
• Perform all other duties as assigned.

Internal and External Relationships and Level of Interaction

• Internal: High level of interaction with employees, production team members, site leadership, and other departments throughout the organization.
• External: May interact with vendors, carriers, suppliers, and other external business contacts as required to support site operations.

Supervisory Responsibilities

• Provides direct and/or indirect operational oversight and guidance to production team members as assigned. Responsibilities may include mentoring, training, providing work direction, coordinating assignments, and supporting daily workflow.
• The Senior Project Order Associate partners with the Operational Manager and Site Manager to address operational concerns, resolve workflow issues, reinforce established procedures, and support team performance. Formal employee relations and disciplinary matters remain the responsibility of designated management in partnership with Human Resources.

Qualifications and Experience

• Education and/or Experience
• High school diploma or GED required.
• Prior experience working with precision scales ranging from approximately 0.00001g to 240g is preferred.
• Strong attention to detail and commitment to accuracy.
• Ability to work independently while also contributing effectively within a team environment.
• Knowledge of on-demand workflows within a laboratory, warehouse, production, or distribution environment is preferred.
• Ability to follow written and verbal instructions and retain information related to projects, procedures, and processes.
• Experience with general laboratory and/or warehouse safety practices and chemical compliance is preferred.
• Experience coordinating workflow, training employees, or providing operational guidance is preferred.
• Basic computer skills and experience working with inventory, order management, or similar computerized systems preferred.

Physical Requirements

• While performing the duties of this position, the employee is regularly required to stand, sit, communicate, listen, and use hands and fingers to perform weighing and material-handling activities.
• Must be able to sit and/or stand for extended periods.
• Must possess sufficient fine motor skills to safely handle chemicals, small containers, vials, and precision weighing equipment.
• Specific vision abilities include close vision necessary to perform precision weighing and related duties.
• Must be able to safely lift and/or move materials weighing up to 50–75 pounds with appropriate assistance when required.
