Job summary

Brigham and Women's Hospital in Boston is seeking a Sr. Practice Assistant to be the primary scheduler for a physician group, coordinating appointments and patient needs while ensuring an exceptional patient experience.

Qualifications

  • High School Diploma or equivalent required.
  • 3-5 years office experience required.
  • Strong MS Office skills including Outlook, Word, Excel, PowerPoint.
  • Ability to manage high volume tasks and prioritize effectively.
  • Excellent customer service and written communication abilities.
  • Experience with scheduling and billing systems (EPIC).

Responsibilities

  • Performs administrative functions to support clinical service and practice operations.
  • Schedules patient visits and maintains appointment records.
  • Assists callers with routine inquiries and triage.
  • Processes patient billing forms and scans to patient medical record (EPIC).
  • Acts as Super User for scheduling, registration and billing systems; provides training to others.
  • Handles prior authorizations, provider questions, prescription refills, and test results.
  • May perform more complex scheduling or changes as needed.

Job Summary

Join a compassionate and dedicated Radiation Oncology team where you'll play a vital role in supporting patients throughout their cancer care journey. As a Sr. Practice Assistant, you'll serve as a primary scheduler for a physician group, coordinating appointments, managing complex patient needs, and ensuring an exceptional patient experience. This fast-paced role requires strong organizational skills, the ability to prioritize a high volume of tasks, and confidence working independently. Ideal candidates are empathetic problem-solvers who excel at customer service, communication, and de-escalating challenging situations while supporting patients and families during emotionally difficult times. Following an onsite training period, this position offers a flexible schedule and the opportunity for a hybrid work arrangement based on team needs.

Summary
  • Performs administrative functions to support smooth and efficient clinical service and practice operations.
  • Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level).
  • Make patient appointments and maintain appointment records.
  • Assist callers with routine inquiries and triage matters appropriately.
  • Process patient billing forms and scan documents to patient medical record (EPIC).
  • Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Additional responsibilities as assigned.

Knowledge, Skills and Abilities

  • Strong technology and MS Office skills - Advanced Outlook, Word, Excel, PowerPoint.
  • Knowledge of office operations and standards and understanding of office procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to use the phone system, manage more non-routine phone calls, and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work-related documents, corresponding and communicating with others clearly and effectively (including composing/editing e-mails, memos, and letters), and taking complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well-organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.
