Headquartered in Maple Grove, MN, with additional facilities across North America, we design and manufacture liquid cooling systems, air handling equipment, heat rejection units, and modular, factory-assembled thermal management solutions.Gradian was founded through the unification of four complementary, established brands: MAS HVAC, Daedex, DeepCoolAI, and EcoChillers. Together, we act as a single-source provider, deploying cooling technologies as scalable systems optimized for efficiency, spatial constraints, and overall performance. With a vertically integrated engineering and manufacturing model, we pair rapid design turnaround with precision fabrication, so customers can move faster on complex projects where reliability, timeline, and quality all matter.**Why work here**At Gradian, you'll work alongside others who get genuinely fired up by complex problems, see your work go from first sketch to job site in weeks, not years, and know that while we're developing the technologies critical for AI infrastructure to scale, our culture remains people-first by design. It is core to our identity that we operate as one team — driving to win together, energizing others, and building lasting relationships that make the work fun and rewarding.**Position Summary:**The PMO Analyst is the enterprise-level owner of portfolio data, reporting, and process standards for Gradian's developing Enterprise Program Management Office. Reporting to the Sr Director of Program Management, this role works across the New Product Development (NPD) and Engineer-to-Order (ETO) teams to give leadership one accurate, current view of every program and project in the portfolio. The PMO Analyst builds and maintains the PMO's standard tools, templates, KPIs, and governance cadence, and partners with the NPD and ETO Analysts to keep data consistent across teams.Process work is a core part of the role: mapping, standardizing, and continuously improving how programs and projects are run across Gradian. The ideal candidate is analytical, organized, and process-minded, and wants to help build a PMO from the ground up.**Key Responsibilities:****Enterprise Process Design & Improvement*** Lead current-state and future-state process mapping for cross-team processes: program intake and prioritization, Stage-Gate, ETO workflow, NPD-to-ETO and NPD-to-production handoffs, change control, and closeout.* Own the enterprise process architecture and SOP library; write and maintain procedures, RACI charts, and process flows with clear owners and revision control.* Define process KPIs (cycle time, first-pass yield, rework, on-time handoffs) and run improvement projects.* Facilitate kaizen events and process workshops with PMs, Engineering, Operations, Supply Chain, Quality, and Finance.* Manage adoption of new and changed processes: communication, training, pilot, rollout, and post-implementation audit.* Coordinate the NPD and ETO Analysts as a process community of practice so domain processes stay aligned with enterprise standards.* Lead or support PMO improvement initiatives from problem definition through rollout and adoption.**Portfolio Reporting & Analytics*** Consolidate NPD and ETO program data into a single enterprise portfolio view covering status, schedule, budget, risk, and resource load.* Build and maintain the PMO KPI dashboard (e.g., on-time milestone delivery, schedule variance, gate adherence, ship-date performance, change-order volume, margin at risk), with executive scorecards aligned to other metrics where relevant.* Prepare monthly and quarterly portfolio reviews and executive summaries for the Sr Director and leadership team.* Analyze trends across the portfolio and flag programs that are off track, under-resourced, or carrying unmanaged risk.**Standards & Governance*** Document, maintain, and version-control enterprise PMO processes: ETO workflow, Stage-Gate framework, Communication Plan, RACI/responsibility matrix, RFI/Submittal procedures, Decisions Log, and change control.* Own the master library of PMO templates and drive consistent use across teams.* Run the governance calendar: schedule portfolio reviews, prepare agendas and pre-reads, record decisions, and track action items to closure.**Resource & Capacity Planning*** Maintain an enterprise view of PM, engineering, and key functional capacity against demand from the NPD and ETO portfolios.* Support intake and prioritization of new programs by modeling resource and schedule impacts for leadership decisions.**Tools & Systems*** Administer PMO tools in Microsoft Teams, SharePoint, Excel, and Power BI (or equivalent); maintain site structure, permissions, and data definitions.* Partner with system owners to automate data feeds and reduce manual reporting where possible; maintaining a single source of truth for project master data.* Train PMs and analysts on PMO tools and templates and support onboarding of new team members.**Qualifications & Requirements:****Required:*** 5 - 7 years of experience in a PMO, portfolio analysis, business analysis or process improvement, ideally in manufacturing or engineered products.* Demonstrated experience mapping, documenting, and improving business processes and building templates that other teams adopt.* Advanced Excel skills (pivot tables, lookups, data modeling) and experience building dashboards in Power BI, Tableau, or similar.* Proficiency with Microsoft Teams, SharePoint, PowerPoint, and scheduling tools**Preferred:*** Bachelor's degree in Business, Engineering, Operations/Supply Chain, Analytics, or a related field, or equivalent experience.* Experience supporting both NPD (Stage-Gate) and project-based or ETO portfolios.* Familiarity with ERP and CRM systems (e.g., SAP, Salesforce).* Experience helping stand up or mature a PMO.**Key Competencies:*** **Process Design:** Builds simple, repeatable processes and templates and drives adoption.* **Analytical Rigor:** Turns raw project data into clear, accurate insights leaders can act on.* **Executive Communication:** Summarizes complex portfolio information concisely for senior audiences.* **Data Integrity:** Holds a high standard for consistent definitions, clean data, and version control.* **Cross-functional Influence:** Drives compliance with standards across teams without direct authority.* **Organization:** Manages a recurring governance calendar and many parallel requests reliably.* **Continuous Improvement Mindset:** Spots inefficiencies and proposes practical fixes.Benefits:* Medical, vision, and dental plans* Short-term and long-term disability insurance* Group term life insurance coverage* HSA, FSA, and Dependent Care plans available* 8 paid holidays, 4 floating holidays, and generous PTO policy* 401k matching* Annual safety shoe allowance* Education assistance program EEO Statement:Gradian is committed to creating a diverse and inclusive workplace where all individuals are treated with respect and dignity.
