Job summary

Apex Companies is seeking a Sr Marketing & Proposal Coordinator to drive proposal development and marketing coordination from our Boise area office. You will collaborate with marketers, project managers, and leadership on qualifications, rosters, and interviews for infrastructure and environmental projects across the country.

In this role, you will lead go/no-go discussions, organize drafts, coordinate reviews, and support client materials.

Qualifications

• Requires degree or equivalent in communications, marketing, business, English, journalism, or related field.
• Minimum 5 years as a marketer in AEC or professional services.
• Willingness to train in Portland, OR and Vancouver, WA offices 1–2 days weekly.
• Proficiency in Adobe InDesign and Microsoft Office.
• Developing knowledge of AI for proposal generation and research.

Responsibilities

• Collaborate with marketers, PMs, staff and leadership on proposals, qualifications, rosters and interviews across infrastructure, environmental and stormwater projects nationwide.
• Coordinate with Portland, OR and Vancouver, WA teams to pursue work in the Pacific Northwest.
• Lead the proposal process from go/no-go through drafts, reviews, submittal and interview when needed.

Your Responsibilities as a Sr Marketing & Proposal Coordinator

• Collaborate with marketers, project managers, support staff, and leadership on positioning, proposals, statements of qualifications, rosters, interviews, and related tasks on infrastructure, environmental, and stormwater projects across the country.
• Work alongside local marketers based in Portland, Oregon, and Vancouver, Washington, in pursuit of new work, with an emphasis on projects in the Pacific Northwest.
• Assist with the retrieval and tracking of requests for proposals/qualifications and lead go/no-go discussions.
• On low-, medium-, and high-complexity pursuits—Lead the proposal process, from go/no-go discussion through drafts and reviews, to submittal and (when applicable) interview. Includes layout, writing, and coordination.
• Assist with the writing, cataloging, and updating of project materials, such as project descriptions, team resumes, and client references.
• Produce proposals in person, as needed, from either the Portland, Oregon, or Vancouver, Washington office.
• Coordinate shipping and travel to client locations for proposal delivery, as needed.
• Support special events and tradeshows, on occasion.
• Perform tasks to ensure the quality of Marketing materials, such as proofreading, aesthetics, and compliance reviews.
• Update the client relationship management (CRM) system and related databases.
• Fulfill other marketing and proposal tasks, as needed.

What we're looking for

• Degree, certification, or equivalent experience in communications, marketing, business, English, journalism, or a related field.
• Minimum of 5 years of experience as a marketer in the architecture, engineering, and construction (AEC) industry or other professional services fields.
• Ability to work from the Portland, Oregon, and/or Vancouver, Washington office for training and team building 1-2 days a week (flexible schedule).
• Proficiency in Adobe InDesign and Microsoft Office.
• Developing knowledge of AI for proposal generation, research, and daily tasks.
• Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced, deadline-driven environment.
• Excellent writing and communications skills, with the ability to adapt to different communication styles.
• Valid driver's license, safe driving history and reliable transportation.

Annual Expected Pay Range: $75,000 – $90,000 USD
