Job summary

Apex Companies, LLC is seeking a Senior Marketing Proposal Coordinator to lead and produce compelling proposals, qualifications, and presentation materials. You’ll collaborate with our national Marketing & Proposals team on Idaho, Utah, and Wyoming projects, and travel for client deliverables as required.

Expect a role that blends writing, editing, layout, and coordination with a strong emphasis on timely, high-quality marketing deliverables and in-person collaboration at Boise or Salt Lake City

Qualifications

• Bachelor's degree or equivalent in communications, marketing, business, English, journalism, or related field.
• 5+ years of marketing experience in the AEC or professional services industries.
• Proficiency in Adobe InDesign and Microsoft Office.
• Excellent prioritization and time management skills.
• Strong organizational skills, attention to detail, and multitasking ability.
• Excellent writing and copyediting capabilities.

Responsibilities

• Work independently in the Apex office in Boise, ID, or Salt Lake City, UT, with the nationwide Marketing & Proposals team.
• Assist with retrieval and tracking of RFPs/RFQs and participate in go/no-go discussions.
• Lead proposal outline preparation and drive proposal kick-off discussions.
• Develop firm qualifications, proposals, and presentation materials including layout and coordination.
• Assist with writing, cataloging, and updating project materials such as profiles, resumes, and references.
• Produce proposals in person from Boise or Salt Lake City; travel to client locations as needed.
• Support events and trade shows; perform quality reviews of marketing materials.

Your Responsibilities as a Senior Marketing Proposal Coordinator:

• Work independently in the Apex office in Boise, ID, or Salt Lake City, UT, in close collaboration with our nationwide Marketing & Proposals team, in pursuit of new work, with an emphasis on projects in Idaho, Utah, and Wyoming.
• Assist with the retrieval and tracking of requests for proposals/qualifications and help with go/no-go discussions
• Lead proposal outline preparation and drive proposal kick-off discussions
• Develop compelling firm qualifications, proposals, and presentation materials in support of Apex's business initiatives. Includes layout, writing, and coordination.
• Assist with the writing, cataloging, and updating of project materials, such as profiles, team resumes, and client references.
• Produce proposals in person, as needed, from Boise or Salt Lake City.
• Travel to client locations to deliver proposals, as needed.
• Support special events and trade shows, on occasion.
• Perform tasks to ensure the quality of Marketing materials, such as proofreading, aesthetics, and compliance reviews.
• Update the client relationship management (CRM) system and related databases.
• Fulfill other Marketing tasks as needed.

What we're looking for:

• Degree, certification, or equivalent experience in communications, marketing, business, English, journalism, or a related field.
• Minimum of 5 years of experience as a marketer in the architecture, engineering, and construction (AEC) industry or other professional services fields.
• Proficiency in Adobe InDesign and Microsoft Office.
• Excellent prioritization and time management skills.
• Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced, deadline-driven environment.
• Excellent writing and copyediting capabilities
• Strong communications skills and the ability to adapt to different communication styles
• Highly motivated, willing to be part of our Apex team and enhance our marketing efforts
• Ability to work in person in the Apex office in Boise, ID, or Salt Lake City, UT, and travel for related Marketing tasks, such as proposal delivery, on occasion.
• Valid driver's license, safe driving history and reliable transportation.
