Position Summary
This role is responsible for conducting initial facility fit evaluations and writing detailed technical documents in response to new and existing client Requests for Information (RFIs) and Requests for Proposals (RFPs). The successful candidate will collaborate closely with Business Development, Process and Analytical Development, Manufacturing Sciences and Technology, Manufacturing, Supply Chain, and Program Management teams to translate client needs into technically sound proposals with defined project scope, schedule and cost.
Duties & Responsibilities
Key Responsibilities Will Include
- Review client Requests for Information (RFIs) and Request for Proposals (RFPs) and coordinate technical evaluations with Subject Matter Experts (SMEs) to understand the requested scope of work.
- Develop proposals via collaboration with stakeholders and relevant departments or Subject Matter Experts to include project definition, executive summaries, key assumptions, design and technical information, scope of work, outcomes, deliverables, pricing, and timelines.
- Serve as the primary owner of the proposal pricing tool. Utilize the pricing tool to generate cost estimates for defined scopes of work in proposals. Routinely communicate with the Finance group to ensure calibration/alignment of the pricing tool and make changes/improvements to the tool to meet ongoing business needs.
- Revise proposals accordingly based on internal stakeholder review and external client feedback during the RFI/RFP and contract process.
- Ensure accuracy in proposal content, pricing, and timelines by using standard work for each proposal.
- Meet proposal deadlines by establishing project plans and/or target dates for information gathering, writing, review, and approval of documents. Escalate risks to scope, timelines, and/or budget.
- At the direction of Business Development and Sales leads, coordinate client site visits and participate in discussions during client site visits that relate to project scope definition / proposal generation.
- Implement improvements to existing practices, procedures and policies.
Education & Experience
- Bachelor's Degree in Business, Chemistry, Biochemistry, Microbiology, Chemical Engineering or related field required.
- Advanced Degree in Business, Organic Chemistry, Biochemistry, Microbiology, Chemical Engineering or other Life Science field preferred.
- Minimum of 2 years of direct experience with Pharmaceutical and/or CDMO proposal/quote generation in a contract services environment highly desired.
Knowledge, Skills, Abilities
- Knowledge of contract manufacturing with Contract Development and Manufacturing Organization (CDMO) experience preferred.
- Proven technical writing skills to develop, review, and deliver scientific documentation.
- Previous experience with RFI/RFP proposal writing highly desired.
- Strong understanding of bioprocessing and biotechnology (e.g., development experience in upstream/downstream process, manufacturing, quality, analytical, cGMP)
- Customer focused with the ability to work within matrix teams to fulfill customer needs while maintaining a high level of safety and quality standards.
- Ability to multi-task and apply time management processes effectively using appropriate prioritization in order to consistently meet deadlines.
- Ability to work with global colleagues and clients, across time zones as needed.
- Strong analytical capabilities and attention to detail.
- Excellent written & oral communication skills with both internal and external customers at all levels of an organization.
- Strong presentation development and delivery skills.
- Proficiency with Microsoft 365 applications
Physical Demands
- Prolonged periods of sitting and working at a computer.
- Frequent use of hands and fingers for typing, writing, and operating standard office equipment.
- Ability to occasionally lift and/or move objects up to 10 pounds.
- May involve extended screen time and repetitive motions such as keyboard use and mouse operation.
- Occasional walking or standing during in-person meetings or facility tours (if onsite or during travel).
Work Environment- This role may be performed either onsite or remotely.
- If remote, a quiet and professional home office environment with reliable internet access is required.
- If onsite, work is typically performed in an office setting with occasional access to laboratory or manufacturing areas requiring adherence to applicable gowning and safety protocols.
- Occasional travel (up to 25%) may be required for client meetings, site visits, or internal collaboration.
- Work may involve tight deadlines and shifting priorities, requiring flexibility, adaptability, and occasional work outside standard business hours to accommodate global time zones and proposal timelines.
- Regular collaboration with cross-functional teams in multiple locations, requiring effective virtual communication and coordination tools.

New York Pay Range: $91,000 USD - $142,000 USD
