The University of Miami/UHealth Department Obstetrician & Gynecologist (OBGYN) has an exciting opportunity for a full-time Sr. Manager, Programsto work in Miami, FL. The Sr. Manager, Programs oversees the day-to-day administrative management of assigned program(s) within the department and works to ensure the successful implementation of all initiatives. The incumbent operates with the goal of delivering high quality programs to the University faculty and staff and other key stakeholders. Furthermore, the Sr. Manager, Programs serves as the liaison to leadership, faculty, students, and staff.

CORE JOB FUNCTIONS
  • Prepares, maintains, and reports on program effectiveness.
  • Assists with managing program budget by monitoring expenditures.
  • Stays abreast of market trends and legislation impacting program functions.
  • Checks, verifies, organizes, and prepares grants, procurement, and other program-relevant documents.
  • Supervises, monitors, trains, and evaluates program staff members to ensure compliance with applicable policies and procedures.
  • Coordinates logistics for program events and activities.
  • Works with other departments to increase program awareness.
  • Identifies new needs and emerging issues and develops new programs, initiatives, and resources.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.
DEPARTMENT SPECIFIC JOB FUNCTIONS
Clerkship Administration
  • Coordinate all administrative aspects of the OB/GYN clerkship, including clinical schedules and didactics, through the learning management system.
  • Manage student rotation schedules across inpatient, outpatient, and subspecialty clinical sites.
  • Maintain clerkship handbooks, policies, calendars, and program resources.
  • Serve as the primary point of contact for students
Student Support
  • Assist students with scheduling, onboarding requirements, and clerkship logistics.
  • Communicate expectations, deadlines, assignments, and program updates.
  • Respond to student inquiries and troubleshoot scheduling or placement issues.
Educational Program Coordination
  • Schedule lectures, small-group sessions, simulations, workshops, and OSCEs.
  • Coordinate room reservations, educational technology, and instructional materials.
  • Support faculty and residents involved in teaching activities.
  • Assist with implementation of curricular initiatives and educational projects.
Assessment and Evaluation Management
  • Coordinate distribution and collection of student evaluations and assessments.
  • Track completion of required assignments, clinical experiences, and examinations.
  • Compile evaluation data and prepare reports for clerkship leadership.
  • Assist with remediation documentation and follow-up activities as needed.
Accreditation and Compliance
  • Maintain records required for accreditation and institutional reviews.
  • Assist with annual clerkship reports, program evaluations, and quality improvement initiatives.
  • Monitor clerkship metrics and educational outcomes.
Data Management and Reporting
  • Maintain databases, student records, and scheduling systems.
  • Generate reports related to enrollment, evaluations, clinical experiences, and program performance.
  • Utilize learning management systems and educational software platforms effectively**
  • Support data collection and analysis for educational research and quality improvement projects.
Event and Meeting Coordination
  • Schedule clerkship meetings, committee meetings, and educational events.
  • Prepare agendas, meeting materials, and minutes.
  • Coordinate visiting speakers, faculty development activities, and special educational programs.
Required Qualifications
  • Bachelor's degree required.
  • Minimum of 2-3 years of experience in program coordination, academic administration, healthcare education, or related fields.
  • Demonstrated experience managing multiple projects and competing priorities.
  • Strong organizational, interpersonal, and communication skills.
  • Proficiency with Microsoft Office applications, databases, and scheduling systems.
Preferred Qualifications
  • Experience supporting undergraduate medical education, graduate medical education, or higher education programs.
  • Knowledge of medical school clerkship operations and accreditation standards.
  • Experience with learning management systems
  • Experience coordinating complex schedules involving multiple stakeholders and clinical sites.
