You will coordinate contract originations, claims, cancellations, billing, onboarding, and reporting, ensuring service levels align with requirements. You will analyze operational metrics, prepare dashboards, and support cross-functional projects, system improvements, and documentation.

WHAT YOU WILL DO

The Sr. HCI Operations Planning Associate provides operational support for assigned service contract programs and business stakeholders. This role coordinates recurring activities related to contract originations, claims and cancellations, accounting and billing, dealer onboarding, operational reporting, system integrations, and production support. This role works with OEM partners, dealers, vendors, and internal teams to monitor service delivery, research operational issues, communicate status updates, maintain documentation, and support process improvements in accordance with established requirements and procedures.

HOW YOU WILL MAKE AN IMPACT

Program Operations Support: Coordinate day-to-day operational activities for assigned programs and stakeholders. Support contract originations, claims and cancellations processing, accounting validations and billing activities, dealer onboarding, operational reporting, and production support. Work with OEMs, vendors, and internal teams to monitor service delivery and adherence to established service levels and business requirements.

Issue Resolution and Stakeholder Coordination: Research routine to moderately complex operational, system, data, reporting, billing, and customer-impacting issues. Coordinate with business and technical teams to identify contributing factors, track action items, communicate status updates, and support timely resolution. Escalate higher risk or unfamiliar matters to management or the appropriate functional resource.

Operational Reporting and Analysis: Monitor operational metrics, service levels, financial activity, data quality, and reporting outputs. Prepare reports, dashboards, scorecards, and presentations to identify trends, exceptions, and potential operational risks. Summarize findings and provide recommendations to support operational decision-making and program performance.

Project and System Support: Support system enhancements, process changes, and cross-functional projects by gathering requirements, documenting business processes, participating in quality assurance and user acceptance testing, and assisting with implementation activities. Identify and recommend practical improvements that may enhance efficiency, accuracy, scalability, or the customer experience.

Documentation, Controls, and Continuous Improvement: Maintain procedures, process documentation, reporting definitions, and operational control records. Support business reviews, compliance activities, and audit requests by compiling information and tracking follow-up actions. Identify process gaps or operational risks and assist with implementing approved improvements.

Qualifications

WHAT YOU WILL BRING TO THE ROLE

Minimum 4-6 years of experience in business operations, operations planning, business analysis, project support, or a related field.

Experience coordinating operational activities and working with business and technical teams to support issue resolution, system changes, and testing activities.

Experience supporting one or more of the following: contract originations, claims and cancellations, accounting and billing, operational reporting, dealer onboarding, or production support.

Experience researching operational issues, identifying contributing factors, and coordinating follow-up through resolution.

Experience preparing reports, dashboards, or performance metrics to support operational decision-making.

Experience using reporting, workflow, or analytics tools such as Tableau, Power BI, OBIEE, Salesforce, Jira, Confluence, SQL, or similar platforms preferred.

Bachelor’s degree in Business Administration, Finance, Operations Management, Analytics, Information Systems, or a related field, or equivalent relevant experience.

Training or certification in business process management, project management, data analytics, Lean/Six Sigma, or business analysis preferred.

Analytical and problem-solving skills with the ability to research operational issues, interpret information, and recommend practical solutions.

Written and verbal communication skills appropriate for coordinating with internal teams, vendors, and business stakeholders.

Ability to organize work, manage multiple priorities, track action items, and meet established deadlines.

Ability to interpret operational data, identify trends and exceptions, and prepare accurate reports and summaries.

Working knowledge of business operations, process documentation, system testing, and continuous improvement practices.

Proficiency in Microsoft Office applications, including Excel, PowerPoint, Word, and Teams; experience with relevant reporting or workflow systems preferred.

Ability to work independently on recurring assignments, collaborate across teams, adapt to changing priorities, and seek guidance on unfamiliar or higher-risk matters.
