Fleet Services Support Specialist

Role Overview

The Sr Fleet Operation Support Specialist is responsible for coordinating fleet maintenance, vehicle assignments, documentation, scheduling, tracking, vehicle compliance, database accuracy, and cost controls. The role emphasizes exceptional customer service, collaboration, and ensuring operational KPIs are met.

Responsibilities
  1. Perform clerical and administrative duties related to fleet management.
  2. Maintain vehicle files, records, billing, vendor relationships, and service provider contacts.
  3. Ensure accurate, up-to-date vehicle information in fleet management systems, complying with regulations.
  4. Analyze and report on customer vehicle data and shop throughput.
  5. Resolve escalated service issues and support during catastrophic events.
  6. Coordinate with team resources to ensure efficiency and quality service.
  7. Establish and maintain customer relationships through proactive communication.
  8. Respond to customer inquiries and support problem resolution.
  9. Provide detailed vehicle information to support utilization and reliability.
  10. Monitor vehicle repairs via fleet maintenance systems.
  11. Schedule repairs and communicate with management and technicians.
  12. Ensure timely completion of vehicle services and follow up with customers for satisfaction.
Minimum Qualifications
  • High School Diploma/GED plus 5 years' related experience, or equivalent combination of education and experience.
  • Proficiency in computers, Microsoft Office, and internet applications.
  • Self-motivated with ability to prioritize and work under pressure.
  • Analytical skills for data analysis and policy recommendations.
  • Accurate record-keeping and report generation skills.
  • Strong communication and interpersonal skills.
  • Ability to support compliance with policies and standards.
  • Experience managing vehicle information and providing recommendations.
  • Team player supporting departmental goals.
  • Excellent organizational and customer service skills.
  • Physical ability to sit or stand for extended periods and perform repetitive tasks.
  • Valid US driver’s license and regional travel capability.
  • Ability to work outdoors occasionally in various weather conditions.
Preferred Qualifications
  • Associate degree or 5 years fleet experience preferred.
  • Knowledge of relevant federal, state, and local laws.
Compensation & Benefits

Hourly pay ranges from $21.49 to $32.26, depending on experience and location. Additional compensation may include commissions or incentives. Benefits include at least 6.67 hours of paid time off monthly, seven paid holidays, and additional leave options such as bereavement, voting, jury duty, volunteer, military, and parental leave.
