Job summary

Salesforce is seeking an Executive Assistant to support the SVP of Impact, joining a global team focused on social impact and excellence. The role offers exposure to leadership, external partners, and global initiatives, with a strong emphasis on organization and judgment.

You will work in a fast-paced environment, coordinating meetings, travel, and expenses while upholding Salesforce's values and standards.

Qualifications

  • Applicable administrative experience, ideally from a global software organization.
  • Skillful execution of administrative activities, with high attention to detail, organization and process.
  • Experience with setting up and management of virtual meeting platforms such as Zoom, Webex, GoToWebinars, GoogleMeet and conference calls.
  • Strong teamwork skills; ability to collaborate and offer process improvements.
  • Strong relationship management skills and ability to network across the company.
  • Project Coordination experience is needed at an intermediate complexity.
  • Strong oral and written communication with senior leaders and external partners.
  • Experience partnering with senior management in a fast-paced, innovative environment.
  • Experience working with/in large administrative teams.
  • Working proficiency of Google Suite and Slack.

Responsibilities

  • Manage day-to-day schedules to ensure the executive can meet obligations efficiently.
  • Coordinate internal and external meetings including team, all-hands, and stakeholder meetings.
  • Proactively manage calendar priorities based on customer meetings and project needs.
  • Book domestic and international travel within policy, including visas and documentation.
  • Interface with diverse stakeholders across Salesforce and senior executives.
  • Complete timely expense reports and track spending as needed.
  • Assist with food orders, luncheon planning, and other meetings as requested.
  • Perform other administrative and project duties as requested.

Role Description

Salesforce is seeking an Executive Assistant to support the SVP of Impact who leads the Impact function. This is an opportunity to work alongside a global team united by a deep commitment to social impact, innovation, and excellence. Your contributions will directly enable programs that benefit communities, nonprofits, and the planet. The ideal candidate will bring a passion for Salesforce's core values, exceptional organizational skills, sharp judgment, and the ability to adapt to a fast-paced, high-visibility role spanning internal leadership, external partners, and global initiatives.

Core Responsibilities
  • Manage day-to-day schedules in such a way that the executive is able to complete their obligations in an organized, efficient way.
  • Coordinate internal and external meetings including but not limited to team meetings, full staff meetings, all-hands meetings, off-site meetings, one-on-one meetings, meetings with stakeholders and customers, etc.
  • Proactively manage calendar priorities based on customer meetings, release cycles, fiscal calendars, current projects, team needs and Dreamforce.
  • Book appropriate domestic and international travel within Salesforce’s travel policy, taking into account travel Visas, costs and proper documentation.
  • Understand the landscape of key internal and external stakeholders in order to effectively interface with employees from other groups within Salesforce and Senior Executives inside and outside the company
  • Completes timely and accurate expense reports, adheres to guidance and may track spend for department events/swag, and works with Finance Partner for guidance on spending.
  • Assist with food orders, luncheon planning, and planning of other business-related meetings as requested.
  • Other administrative and project duties as requested.
Minimum Requirements
  • Applicable administrative experience, ideally from a global software organization.
  • Skillful execution of administrative activities, with high attention to detail, organization and process.
  • Experience with the setting up and management of virtual meeting platforms such as Zoom, Webex, GoToWebinars, GoogleMeet and conference calls.
  • Strong teamwork skills; and a confident ability to offer suggestions and improvements to process and work very collaboratively with others.
  • Strong relationship management skills, and ability to build a personal network throughout the company.
  • Project Coordination experience is needed at an intermediate complexity.
  • Strong oral and written communication. Ability to communicate clearly and effectively with senior leaders and external partners.
  • Previous experience partnering with senior management in a fast-paced, innovative environment.
  • Experience working with/in large administrative teams.
  • Working proficiency of Google Suite (Gmail, Docs, Drive, GMeet). Experience using Slack.

Additional Notes
  • This may require in-office presence at the San Francisco Salesforce Tower 3-5 times a week

At Salesforce, we believe in equitable compensation practices that reflect the dynamic nature of labor markets across various regions. The typical base salary range for this position is $96,300 - $145,200 annually. In select cities within the San Francisco and New York City metropolitan area, the base salary range for this role is $116,000 - $159,500 annually. The range represents base salary only, and does not include company bonus, incentive for sales roles, equity or benefits, as applicable.
