Job Description

This role partners with the Chief Data Officer and collaborates with a team of Executive Assistants. Responsibilities include calendar management, travel logistics, expenses, technical support, communications, and partner support. It is primarily a scheduling-heavy position.

Ideal candidates thrive in a fast-paced, global environment, can manage competing priorities, meet deadlines, follow instructions, and enforce calendaring guidelines diplomatically. The role requires strong organizational skills, problem-solving, and excellent communication, especially in managing high volumes of requests and maintaining detailed records.

This is a hybrid role (in-office 3 days/week). The candidate must be self-motivated, highly organized, and attentive to detail, with excellent note-taking and prioritization skills.

Essential Functions
Calendar Management
  • Manage dynamic calendars with high attention to detail, updating and cascading changes proactively.
  • Communicate progress, delays, and escalate issues as needed.
  • Block time for focused work, reviews, and travel.
  • Resolve scheduling conflicts and prioritize requests using Excel tools.
  • Prepare materials for meetings, including agendas and background notes.
Administrative Excellence
  • Summarize scheduling questions clearly.
  • Partner with internal and external contacts for seamless scheduling.
  • Manage distribution lists and delegate coverage during absences.
  • Share best practices and adopt new tools like GenAI, MS Teams, and Outlook.
Travel & Logistics
  • Arrange transportation, accommodations, and logistics.
  • Review quotes, book travel early, and ensure preferences are met.
  • Manage international travel documents and visas.
Expenses
  • Handle expense reporting in compliance with policies.
  • Manage group expenses and recognition purchases.
Technical Support
  • Provide technical assistance and liaise with IT.
Communications & Partner Support
  • Maintain clear communication and document meetings.
  • Coordinate event logistics and manage records.
  • Draft correspondence and manage contact information.
Partner Support
  • Respond promptly to requests and support VIP guests and clients.
Qualifications

Basic: 6 months of work experience or a Bachelor's Degree.

Preferred: 2+ years of experience, 7+ years in global organizations, strong English skills, proven calendar management, organizational skills, problem-solving ability, ability to work under pressure, proficiency in Outlook, PowerPoint, Excel, and experience with budget and financial reporting.

Additional Information

Work hours vary; travel 5-10%; office setting requiring sitting, standing, and communication. Visa is an equal opportunity employer. Salary range for US applicants is $63,200–$105,250/year, with potential bonuses and benefits.
